Position Description
Essential Responsibilities
1. Greet customers, ascertain nature of business, assist if possible or direct students or visitors to appropriate person(s)
2. Obtain pricing information, submit e-requisitions, and process material and supply and equipment orders; receive incoming orders and check for accuracy and completeness
3. Prepare and monitor contracts for adjunct faculty and part-time staff for assigned areas
4. Assist Dean with semester schedules and ensuring accuracy prior to printing
5. Maintain and update all scheduling of classes in Colleague and monitor for accuracy
6. Schedule all room assignments for division
7. Assist with student registration and be available for announce periods
8. Organizing and calling the waiting list for the division classes each semester
9. Responsible for all supply and equipment inventory records, including processing surplus and transfer cards
10. Maintain personnel files for the division
11. Perform routine office work including but, not limited to, routing incoming and outgoing mail, preparing documents, filing correspondence and records, and schedule appointments
12. Assist dean and faculty with assessment reports and data, including program review
13. Take notes and prepare minutes for division meetings and other committees and teams as assigned
14. Make arrangements and process appropriate paperwork for division travel
15. Electronically submit curriculum revisions to Curriculum Committee
16. Other duties as assigned
17. Reads and properly routes incoming mail
18. Locates and attaches appropriate file to correspondence to be answered by supervisor
19. Composes and types routine correspondence
20. Files correspondence and other records
21. Answers telephone and gives information to callers or routes call to appropriate official and places outgoing calls
22. Schedules appointments for Dean
23. Greet visitors, ascertains nature of business, and conducts visitors to appropriate person
24. Compile and type statistical reports
25. Make copies of correspondence or other printed matter using and maintaining copying machines.
26. Prepare outgoing mail
27. Prepare notes, correspondence, and reports
28. Carry out registration process
29. Carry out functions of purchasing process for all Division members (supplies and equipment requests)
