Minimum Qualifications

Education:  Education equivalent to a community college level associate degree in information systems, business, education or related field required. Bachelor’s degree preferred.

Knowledge and Skills

  • Proficiency using word processing, spreadsheet, database, and publishing applications
  • Experience using work productivity applications and systems
  • Knowledgeable of college resources
  • Entry-level/Intermediate technology trouble-shooting skills
  • Typing speed of 50 words per minute
  • One year of clerical/administrative assistance experience preferred
  • Excellent communication skills (speaking, listening, reading, writing)
  • Ability to work collaboratively and willingness to learn new skills

Position Description

Carteret Community College is accepting applications for a full-time Administrative Assistant in their Arts & Sciences division, to provide administrative and clerical support for the division.

Essential Functions and Responsibilities:

  • Perform clerical duties assigned by the division dean, program chairs and faculty including, but not limited to, word processing documents and correspondence, and creating and maintaining forms, mailing lists, and databases
  • Assist with telephone and onsite student, staff, and public inquiries.
  • Assist division dean and chairs with large reports such as program accreditation and program reviews.
  • Manage purchasing procedures for the division.
  • Assist division faculty with data collection necessary to complete various reports, e.g. program accreditations, program reviews, and SACSCOC documents.
  • Manage distribution and return of classroom instructional technology.
  • Manage, secure, and report division course syllabi.
  • Fulfill multi-function copier requests for the division; maintain supplies and make requests for service.
  • Facilitate program processes and procedures.
  • Assist with semester schedules.
  • Manage adjunct instructor contract production, distribution and reporting.
  • Create, distribute, collect and generate AVISO reports.
  • Submit work order requests for the division.
  • Provide assistance with equipment and supply purchasing, intake and distribution.
  • Manage administrative assistant fiscal budget.
  • Assist division faculty with use of technology, or refer to IT department, as needed.
  • Operate audio-visual systems for division events.
  • Reserve college resources for division faculty upon request.
  • Monitor and ensure security of confidential information, including but not limited to student records.
  • Maintain up-to-date forms, office procedures, informational handouts and announcements for the MAPS Center.
  • Answer general questions and direct individuals to appropriate services and resources throughout the college via personal contacts, telephone calls and/or email.
  • Assist in maintaining databases for accurate data collection for the MAPS Center.
  • Document and introduce new students to the MAPS Center and log in/out system
  • Maintain MAPS Center calendar, email, and front desk tasks.
  • Proctoring Websites relating to university transfer and the MAPS Center.

Additional Duties and Responsibilities

  • Attend meetings and staff development activities as requested.
  • Assist the Arts and Sciences Division with departmental activities not limited to registration, graduation, college/career days, and classroom visits.
  • Other duties as approved by the Dean of Arts and Sciences.
