Minimum Qualifications

Education & experience

  1. An AAS degree in office systems technology or related field or
  2. Two years experience in the secretarial field

Preferred Qualifications

Knowledge, specialized skills and abilities

  1. Computer skills and knowledge of relevant software
  2. Knowledge of operation of standard office equipment
  3. Knowledge of clerical and administrative procedures and systems such as filing and record keeping
  4. Good customer service skills are needed
  5. Ability to lift 20-30 lbs
  6. Must be available for some nights and weekend

Position Description

Job Summary

Under the general supervision of the Director of Comprehensive Public Safety Program, the Administrative Assistant will perform a variety of complex administrative duties to support the Public Safety Department in the management of instruction and student success across the College.

Essential Duties/Functions

  1. Enter classes, students and grades in Colleague system
  2. Generate reports as needed by appropriate systems
  3. General clerical duties including photocopying, fax and mailing
  4. Schedule and coordinate meetings, appointments and travel arrangements for the staff of the Public Safety Department
  5. Prepare agendas for meetings and prepare schedules
  6. Record, compile, transcribe and distribute minutes of meetings
  7. Open, sort and distribute incoming correspondence
  8. Maintain office and instructional supply inventories
  9. Coordinate maintenance of office equipment
  10. Coordinate and maintain records for instructors, classes and students
  11. Prepare and edit correspondence, communications, presentations and other documents
  12. Design and maintain databases
  13. File and retrieve documents and reference materials
  14. Conduct research, collect and analyze data to prepare reports and documents
  15. Coordinate and maintain schedule of classes for department
  16. Answer and manage incoming calls
  17. Receive and interact with incoming visitors
  18. Liaise with internal staff at all levels
  19. Interact with external clients
  20. Supports and promotes college programs/activities for recruitment
  21. Review operating practices and implement improvements where necessary
  22. Serve as the back-up to the Continuing Education Registrar
  23. Perform other duties as assigned.
