Minimum Qualifications

Associate's degree with course work emphasis in business administration, office administration, and personal computer operations; supplemented by one (1) year previous experience and/or training involving office administration (preferably in a community college or education setting) and personal computer operation; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this job.

Position Description

Under the direct supervision of the Registrar, the position provides assistance to students and staff regarding Pitt Community Collee admissions and academic records.  This position is responsible for providing information to prospective students, applicants, and current students regarding admissions placement requirements, the evaluation high school transcripts or equivalency, SAT/ACT scores, etc., NC residency requirements, registration, as well as reviewing and processing applicants in the Ellucian RECRUIT software for processing daily admission applications.

Provides assistance to students, Instructors, and staff regarding policies and procedures for registration, program completion, academic records, and all other functions related to the Student Development Services.
 
Processes a variety of documentation associated with department operations, within designated timeframes and per established procedures.
 
Processes registration; mails program materials and admissions packets to accepted applicants; creates permanent files for new students; maintains student records including transcripts.
 
Processes admissions applications; responds to inquiries and telephone inquiries from applicants; facilitates the registration processes for students.
 
Processes requests for transcripts, verification of enrollment, change of address, official withdrawals, and change of major.  Processes transcripts received/issued; enters, encodes, and verifies data in computer.
 
Operates a computer to enter, retrieve, review or modify data; verifies accuracy of entered data and makes corrections; utilizes word processing, spreadsheet, database, or other software programs.
 
Scans interactive records onto optical disk using optical imaging equipment; reviews documents for accuracy; destroys paper files.
 
Maintains computerized and/or hard-copy file systems of departmental records; prepares departmental files; sorts/organizes documents to be filed; files documents in designated order; retrieves/replaces files.
 
Communicates with supervisor, employees, other departments, college officials, instructors, staff, students, applicants, graduates, other educational institutions, the public, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems.
 
Performs general/clerical tasks, which may include answering telephone calls, typing documents, making copies, sending/receiving faxes, filing documentation,
 
Stuffing envelopes, preparing mass mailings, processing incoming/outgoing mail, verifying data, or placing orders for office supplies or forms.  Provides assistance to other employees or departments as needed.  Performs related duties as directed.
