Required:

  • Bachelor's degree (or higher) from a regionally accredited college or university.
  • Three years of experience in an office setting.

                                        OR

  • Combination of both education and experience.

Preferred Qualifications

  • Three years of experience working at a community college.

Position Description

FLSA: Technical/Paraprofessional, non-exempt
Salary is based on experience.

The role of the Assistant Registrar is to manage the daily tasks of the Registrar's Office; perform a variety of technical duties; research and compile data for various reports; provide information and assistance to faculty and staff; and keep abreast of all changes to the North Carolina Community College System (NCCCS) Code and Memos to ensure the College stays in compliance.
 
Serve as the Director, Registration and Records/Registrar in his/her absence.

The Assistant Registrar receives supervision from the Director, Registration and Records/Registrar. 
  
 

Examples of Duties

 

  • Perform daily functions of the Registrar's Office, including but not limited to, registration, residency, enrollment verifications and managing student records.
  • Provide student assistance with the N.C. Residency Determination Service (RDS) and keep abreast of residency policies.
  • Responsible for the non-payment drop process and work with the Business Office staff to resolve any discrepancies.
  • Responsible for ensuring final grades have been submitted in MyService.
  • Responsible for attendance verification for Financial Aid and FTE reporting. 
  • Provide software support and conduct training for faculty, such as, MyService, entering attendance and final semester grades.
  • Responsible for a variety of student confidential files and records.
  • Advise and respond to questions from the College departments and external agencies regarding complex issues or policies impacting assigned programs and services.
  • Serve on Academic Affairs Committee, Southern Association of Colleges and Schools Commission on Colleges (SACSCOC) Committee and Datatel Power-Users Group (DPUG) Committee.   
  • Provide assistance with graduation processes and commencement activities.
  • Provide assistance with verifying all FTE and other reports, correspondence and Programs of Study, for completeness and confor­mance with established policies and procedures from the NCCCS.
  • Provide assistance with FTE estimation for curriculum and collect estimated FTE from Basic and Transitional Studies, Workforce Development and Continuing Education and submit to NCCCS; report estimated FTE and final FTE to the President, Vice Presidents and Chief Financial Officer.
  • Provide assistance with electronically filing and updating all Programs of Study and courses for approval and compliance with NCCCS in Colleague; ensure that all Programs of Study meet NCCCS curriculum standards; enter and build all local programs that fall under approved state programs. 
  • Provide assistance with accurate program submission to the NCCCS and verify the accuracy of Programs of Study that are filed, approved and match courses in the Academic Catalog.  
  • Perform National Student Clearinghouse reporting function for the college.
  • Serve as primary backup to the Military Liaison
  • Ensure veterans' administration files and documentation is accurately reported to the US Department of Veterans Affairs (VA)
  • Participate in the VA auditing process
  • Attend required VA annual training
  • Serve as backup for verification of census date activities completed for online courses.
  • Serve as backup for providing oversight and coordination with staff at all campus locations concerning various projects and reports, including internal audit, FTE reporting, student conflict reports, attendance reports, final FTE verification reports and Programs of Study.
  • Provide assistance with organizing and retaining all class modification forms documenting adjustments in class meetings and instructor absences for compliance examination.
  • Serve as backup for entering accurate semester dates in Colleague.
  • Serve as backup for ensuring degree audit accuracy.
  • Attend training for Programs of Study and Compliance Services.
  • Serve as backup for reviewing Academic Affairs Committee submissions for accuracy according to curriculum standards and NCCCS.
  • Serve as backup for completing compliance audits for courses and course schedules to ensure that courses are meeting required amount of time and meeting where they are scheduled.
  • Run and execute queries from Informer and distributes a variety of reports.
  • Perform other duties as assigned.
