  • Three years’ work experience in higher education required.
  • Experience with registration processes required.
  • Experience using computer applications/software required.

  • Strong organizational, analytical, and computer skills required.
  • Effective written, oral, and interpersonal communication skills required.
  • Student services or supervisory experience required.

Preferred Qualifications

  • Master’s degree from a regionally accredited institution preferred.
  • Community college work experience preferred.

Position Description

Support the College mission by providing leadership and supervision of registration and records functions, including maintaining course files, transcripts, and grades for both curriculum and Economic and Workforce Development (EWD) programs.  Supervise and coordinate technical processes of the admission applications for curriculum programs.  Ensure and maximize efficiency and effectiveness of registration and records processes with an emphasis on customer service and student success.  Responsible to ensure adherence to institutional and state policies and regulations that pertain to Full-Time Equivalence (FTE) reporting for both curriculum and EWD.  Serve as the College Registrar and as the custodian of student records to ensure compliance with College policies and state and federal regulations. This position is responsible for overall effectiveness of the office and accuracy and security of student data.


  1. Responsible for the daily operation of the Registrar's Office to ensure quality service to students, faculty, and staff.
  2. Plan, supervise, and evaluate the performance and work of the registration staff and provide for staff development and training of personnel involved with assigned area.
  3. Develop, plan, and coordinate the College registration process for both curriculum and EWD.  Establish, under the leadership of the Vice President for Student Affairs and Enrollment Management, and in consultation with other College officials, goals and objectives for the registration processes.
  4. Evaluate registration processes for effectiveness and student centeredness.
  5. Serve as the College Registrar and establish procedures for the retention, disposition, and security of student records in accordance with the Family Educational Rights and Privacy Act of 1974 (FERPA) and all applicable state and federal regulations.
  6. Prepare daily, weekly, quarterly, and annual reports and materials for internal and external reporting.
  7. Maintain timely and accurate records of academic progress; provide transcript services for students and alumni.
  8. Assure adherence to College and community college policies and procedures.
  9. Establish and maintain effective relationships with students, faculty, staff, alumni, and community.
  10. Provide leadership and supervision of technical processes of the curriculum admission applications, such as maintaining the College Foundation of North Carolina (CFNC) website for college applications.  Supervise changes to admission application processes to ensure accuracy of admissions records, run applicant reports, and analyze applicant data.
  11. Plan and supervise systems development and analysis related to registration and student records systems; conduct research and data analysis in assigned areas as needed.
  12. Alert all departments of errors that may result in audit exceptions and penalties for the College.
  13. Verify accuracy of registration and fees, forward money to business office for receipting, and supervise student registration processes including online registration through WebAdvisor and walk-in registration for EWD.
  14. Review accuracy of EWD part-time instructional contracts prior to registering students to ensure accuracy.
  15. Prepare and transmit required reporting for NCCCS, including but not limited to, the Institution’s Class Report, Extension, Data Card Report, NCFC Data Report, and Correctional Education Report.
  16. Assist EWD administration and staff in the collection of records and generation of reports required for audit and accreditation purposes.  Participate in audit planning and follow-up meetings.
  17. Plan, coordinate, and direct the curriculum graduation process by ordering diplomas, planning the commencement ceremony, certifying and verifying graduation status, and issuing diplomas.
  18. Oversee awarding of transfer credits and evaluation of student records.
  19. Support the research mission by providing data and services.
  20. Process grades and grade verifications as appropriate.
  21. Serve as College representative in community service efforts.
  22. Maintain and expect professionalism in the performance of duties; foster collaboration, collegiality, and support.
  23. Perform other duties as assigned.


  • Generally works in a traditional climate-controlled office environment and requires the ability to sit for extended periods.
  • Some walking, standing, and bending required, and the ability to lift and maneuver items weighing up to 25 pounds.
  • Work environment can be stressful at times in dealing with a wide variety of challenges and deadlines.
  • In addition to regular office hours, position sometimes requires overtime and/or evening hours.
