Minimum Qualifications

  • Associates’ degree from an accredited institution or proven experience
  • Minimum of three to five years of successful, professional experience as an Administrative Executive Assistant
  • Ability to exercise critical human relations skills in establishing and maintaining effective working relations with employees, the Board of Trustees, students, college community and the public
  • Organizational skills with attention to detail and accuracy. Ability to maintain confidentiality is imperative.
  • Working knowledge of Microsoft Office 16, Outlook and the Internet
  • Willingness to learn Colleague (ERP) for budgetary information
  • Proven experience in issues related to Compliance and Confidentiality


Preferred Qualifications

  • Bachelor’s degree in business management or related field.
  • 7-10 years as a Senior Executive Assistant in a professional environment

Position Description

General Function: 

Under general direction, performs highly complex administrative duties in support of the President and Board of Trustees and assists in the coordination of the general operations and special projects of the President’s Office. Assumes responsibilities with minimal supervision, exercises initiative, makes decisions, and handles routine matters independently.

Essential Responsibilities and Duties:

  • Responsible for the over-all supervision, efficiency and effectiveness of the President’s Office
  • Plans, organizes, and coordinates meetings, special events, conferences and receptions for the President’s Office. Arranges venue, caterers, coordinates speakers and oversees event budget
  • Promotes positive public relations for the Office of the President and the College in general 
  • Serves as liaison between President, faculty, staff and students, as necessary
  • Serves as the Notary Public for the Office of the President and the Board of Trustees
  • Responds to daily inquiries in a professional and efficient manner
  • Receives, sorts and distributes incoming/outgoing mail for the President’s Office
  • Maintains the President’s calendar; schedules all meetings; makes travel arrangements for the President; and prepares itineraries, travel authorizations, travel reimbursements and monthly travel log for the President’s College car and/or personal car when used for College business
  • Maintains and updates various directories; i.e., NCCCS, State Board of Community Colleges, Board of Trustees, BCC Foundation, County Commissioners, Legislators, Board of Education and other local agencies
  • Maintains general files for the President and Trustees
  • Plans monthly Board of Trustees meetings, annual and mid-year Board of Trustees retreats, and weekly Cabinet meetings
  • Assists with the implementation and administration of College policies and procedures and other criteria set by the State Board of Community Colleges, the State of North Carolina, the Federal Government and other entities
  • Attends Board of Trustees and Cabinet meetings, maintains and distributes minutes of both
  • Prepares agenda and materials for the Board of Trustees meetings
  • Maintains Board of Trustees’ documentation regarding Ethics Training, SEI filings, orientation, and appointments
  • Makes travel arrangements, prepares travel authorizations, and expense reimbursements for the Board of Trustees when attending College Trustee conferences/meetings
  • Assists with Board of Trustees Committee meetings as needed
  • Maintains schedule for Board Room using EventPro
  • Maintains Board of Trustees web site
  • Maintains and updates Policy Manual
  • Responsible for departmental budget, as far as planning, balancing, and transferring of funds
  • Facilitates the President’s communication with the Board, College employees, the community, political representatives and all associated organizations on local, state, national, and international levels
  • Serves as liaison between the President and the entities who appoint Board of Trustee members
  • Assists the President in facilitating contracts and agreements between the College and other entities
  • Manages the President’s Office making independent decisions on administrative matters; develops and implements internal procedures to expedite and control the flow of administrative work and project completion
  • Is responsible for security and maintenance of highly confidential materials, information and professional files
  • Organizes and oversees the detail of meetings between the President and associates and/or subordinates
  • Assists the President with detailed and administrative work personally handling routine matters and assigned projects
  • Implements BCC Core Values within the department and College wide
  • Other duties as assigned by the President and/or Board of Trustees
