Minimum Qualifications

  • Associate Degree, from an accredited institution, in office systems technology, secretarial services, business, information systems, or related field
  • Two years of clerical experience or equivalent training          
  • Experience with data entry
  • Experience filing and maintaining office records
  • Experience with receiving incoming calls and scheduling appointments
  • Experience managing a professional office and assisting visitors
  • Experience with MS Office Suite
  • Excellent oral and written communication skills
  • Ability to work effectively and collegially with others
  • Familiarity with and appreciation for the mission of a comprehensive community college
  • Effectiveness in the following College organizational competencies:
    o   Translating College purpose, values, and vision into organizational action
    o   Collaborating and facilitating
    o   Creating and innovating
    o   Anticipating and responding to change
    o   Providing vision and leadership
    o   Assessment of student learning
    o   Engagement and assessment of successful student retention models

Preferred Qualifications

  • Experience working in a college setting
  • Experience working with federal grant programs
  • Experience working with individuals who are low-income, first-generation, or who are otherwise at risk

Position Description

The Part-Time Administrative Support, Upward Bound is a grant funded position responsible for providing general office support and assistance for the Upward Bound program.  This position reports to the Director, Upward Bound and has the following responsibilities:

Responsibilities:

  • Performs general office duties, including answering phones, greeting visitors, scheduling appointments, preparing materials, filing, and processing incoming and outgoing correspondence 
  • Maintains and compiles information needed for the programs Annual Performance Report; assists the Director with required grant reporting and communication with the US Department of Education
  • Assists the Director in preparing and maintaining participant files, including, but not limited to, applications, forms, eligibility documents, and academic records
  • Provides student file and database management of participant services and activities
  • Ensures accurate data entry, filing, record retrieval, and reporting both manually and electronically   
  • Assists with tracking program and budget expenditures
  • Assists in organizing activities, meetings, and workshops for the Upward Bound program; participates in Upward Bound events, as appropriate
  • Provides staff support during program meetings by scheduling and taking minutes
  • Provides administrative support to Student Success Advisors, as needed
  • Maintains office supplies and coordinates travel and purchase order requests
  • Reconciles College budget statements with internal program budget spreadsheets
  • Maintains sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds  
  • Seeks opportunities to gain knowledge and implement more effective and efficient processes
  • Supports the mission, vision, and values of the College
  • Performs other duties as assigned which support the purpose and initiatives of the Upward Bound program and the College

ADA requirements for this position include critical thinking skills with the ability to process information and exercise good judgment; ease of mobility within the work environment and other areas of campus and College locations; travel between campus locations may be required; and effective use of all forms of communication including use of computers.
