Position Description


  1. Enter, verify and edit Continuing Education, Instructional and Staff contracts, post hours worked and balance
  2. Verify time sheets for accuracy
  3. Data entry of payroll information monthly—hours worked, leave used, etc.
  4. Maintain vacation, sick and compensatory leave reports and registers
  5. Run computer process and verify; re-compute if necessary
  6. Calculate direct deposits
    1. Credit direct deposit tape and transmit to bank
    2. Run direct deposit notices
    3. Run direct deposit registers and tape reports—file.  Coordinate direct deposit with bank
  7. Run monthly payroll reports—deductions, hospitalization, retirement, status, leave, check register, etc.
  8. Write monthly checks from County and Special to reimburse State for shares of payroll
  9. Complete monthly and quarterly payroll reports
  10. Make monthly Federal Payroll Tax deposit
  11. Calculate longevity and bonus and run cycles as necessary


  1. Run W-2’s and distribute in accordance with federal regulations
  2. Payroll accruals for end of year postings (salary, vacation/sick leave)

Other Duties:

  1. Serve as back-up for cashier functions
  2. Help with grant reimbursement requests and documentation
  3. File, shred, discard and store files according to Retention Records policy
  4. Process and sort incoming, outgoing and intercampus mail
  5. Assist Business Office during registration periods as needed
  6. Other duties as assigned

Skills and Abilities

  1. Develop an understanding and appreciation of the mission, history, current programs, services and goals of Isothermal Community College
  2. Understanding and ensure compliance of internal control measures, processes and procedures as established by the College and outside agencies
  3. Compute for accuracy and record data accurately while working under pressure and meeting deadlines
  4. Ability to establish and maintain effective working relationship with staff, faculty, students and the college community
  5. Strong organizational and time management skills
  6. Proficient computer skills with Ellucian and Microsoft Office
  7. Ability to work accurately under pressure
