Minimum Qualifications

Required:

  • Associate's degree in office systems technology, business administration, or a related field from a regionally accredited college or university.
  • Three years of experience with planning, promoting and organizing special events.
  • Demonstrated capabilities in using various computer software, including MS Word and Excel.
  • Strong interpersonal skills, good people skills and communication skills.
  • Must be creative, work independently and maintain confidentiality.

The role of  COA's Performing Arts Center (PAC) Manager is to be engaged in all aspects of the center to include the box office operations and ticket sales; the annual Theatre series – usually five to six shows per year; the management of all rental events in the PAC; providing technical support such as lighting and sound operations for all College and theatre related events both on and off campus and supervision of the part-time theatre assistant, work studies and all volunteers. This position will include working nights and weekends.

The PAC Manager receives supervision from the Chief Operations Officer.  
 

 

 Examples of Duties:

  •  Shares supervision of the Operations Administrative Assistant.
  • Provide supervision to volunteers and contracted members during pre-production hours and during production hours of up to 30 people.
  • Provide supervision and oversight of all projects and cleaning of the Performing Arts Center.
  • Management of the PAC Box Office and all aspects of ticket sales for all shows which includes the ability to prepare sales and attendance reports after each show and as needed.
  • Monitoring phone lines, outgoing messages and other communication lines including Facebook posts, and mass emails to ensure immediate and comprehensive informational updates.
  • Provide specific information and assistance to the general public regarding PAC events and general information and direction regarding College policies and procedures.
  • In collaboration with the Marketing Department, create promotional posters and flyers for promotion of all theatre events. This includes providing all information necessary for show programs, ad copy and yearly theatre season brochures.
  • Maintain PAC patron email and mailing lists, and send out timely promotional material regarding season shows and events.
  • Maintain contacts with local media outlets and furnish information for promotion of PAC events and shows. This could also include preparing and disseminating bulk mailings of promotional materials and collaborating with local businesses, clubs and public schools to promote shows to local residents and to ensure community awareness.
  • Maintain the master calendar for the PAC.
  • Coordinate grant writing when appropriate.
  • Maintain and provide statistics and other necessary information, and provide other administrative support.
  • Keep accurate accounting of sales in regards to ticket purchases and in departmental business. This includes submitting daily reports to the College's Business Office for accounting purposes and preparing check requests, requisitions, deposits and other reports as needed.
  • Supervise and schedule part time box office personnel to assist with daily administrative duties, technical support and facility management.
  • Supervise, schedule and mobilize 50-70 volunteers per season including, technical needs, backstage operations, prop building, set construction, costuming and ushers.
  • In collaboration with the Chief Operations Officer, develop departmental unit action plan and budget for the PAC. This includes monitoring expenses and the overall management of fiscal reconciliations.
  • Work with general public and other college departments providing information in regards to facility use/rental agreements, including approval, confirmation and execution of such agreements. This also requires anticipating and understanding the renters' needs including, sound and lighting equipment, operational staff, auxiliary spaces including dressing rooms, green rooms etc., scheduling security and maintenance and personally overseeing events from load in to load out, to ensure proper and effective execution.
  • Coordinate and prepare contracts with custodians and security for all rental events.
  • Prepare the PAC for all performances, rentals, graduations and other events including checking all equipment is working properly and that the facility is clean, functional and ready for the event.
  • Organize and maintain all areas related to the PAC including the costume room, prop rooms, green room, dressing rooms, lobby, workshop, shed, classrooms and other areas within the center.
  • Effectively evaluate and recommend necessary repairs for the PAC based on cost, necessity and time.
  • Ensure compliance on legislation in regards to health, fire safety and licensing laws.
  • Maintain an active role in College of The Albemarle's operations, including serving on various committees and proving assistance and support to further the mission of the College.
