Minimum Qualifications

Associates Degree from an accredited institution, required

Reliable transportation for occasional travel to the main campus in Spindale, NC and other area locations, required

Preferred Qualifications

Three to five years’ experience in clerical field, preferred

Experience in a Community College setting, preferred

Position Description

Essential Responsibilities

  1. Meet and exceed student and visitor expectations by providing a positive, helpful, and patient customer service experience during every interaction (student and visitor interactions occur over the phone, through email, and in person)
  2. Counsel students and visitors regarding classes or other community opportunities based on their specific questions
  3.  Perform office clerical duties including but not limited to:
    1. Greet all visitors to the Polk Center office with a friendly and helpful demeanor
    2. Answer and re-route telephone inquiries
    3. Maintain orderly and organized office files based on current office protocols, and suggest improvements to current protocols where appropriate
    4. Perform back-up room schedule and calendar maintenance for the Administrative Assistant
    5. Generate and organize paperwork for continuing education classes as directed by the Director or Administrative Assistant
    6. Update email and mailing lists from registration forms
    7. Keep office machines stocked with paper, and notify Administrative Assistant if supplies are getting low
    8. Prepare work orders for the print shop
  4. Assist students registering for classes through the collection of all necessary paperwork
  5. Collect fees associated with class registrations, massage clinic, and student accident insurance and maintain all necessary records related to the collection of these fees
  6. Assist with the planning, set-up, and execution of events
  7. Recruit students for continuing education classes including but not limited to:
    1. Performing outgoing phone calls to potential students
    2. Assisting the Administrative Assistant with the creation and distribution of marketing materials
  8. Ensure that office and office machines are properly stocked with paper, forms, supplies, etc.
  9. Work with the Administrative Assistant to manage the Massage Therapy program student massage clinic, including scheduling client massages, making reminder calls, sending reminder emails, and more
  10. Provide support for new and existing instructors, including technical support, troubleshooting, setting clear workplace expectations, supporting the Administrative Assistant and instructors with class scheduling, and following up on new employee forms and information
  11. Other duties as assigned

  2. Maintain a courteous, professional, and respectful rapport with students, instructors, Polk Center staff, visitors, members of the general public, members of the Board of Trustees, and other staff members of the college
  3. Establish and maintain effective working relationships with students, faculty, staff, and the public
  4. Working knowledge of computers, including proficiency in specific Microsoft Office software applications: Word, Excel, PowerPoint, the internet, and email
  5. Experience with Microsoft Outlook (preferred, but not required)
  6. Capable and willing to provide a consistently excellent customer service experience
  7. Effective verbal and written communication skills
  8. Proven organizational skills, multi-tasking skills, and the ability to perform under pressure
  9. Ability to work autonomously and be part of a cohesive team
  10. Capability to perform responsibilities in a professional manner
  11. Capacity to problem solve and think creatively
  12. Ability to manage and complete multiple tasks utilizing time management skills
  13. Ability to maintain confidential and sensitive student and program information
  14. Ability to support a flexible schedule, with some irregular shifts required to support the Massage Clinic and other Polk Center events
