  • Skills in keyboarding, public relations, communications, and problem-solving

  • A working knowledge of Microsoft Office programs is required

Position Description

The Staff Assistant for the NC Motorcycle Safety Education Program provides support and performs office duties to facilitate the business of the program.

The duties of the Staff Assistant include, but are not limited to:

  • Provide advanced clerical services for administrative staff including confidential interactions with personnel, handling paperwork with integrity, preparing budgets and reports with the direction of administrative staff
  • Provide for and ensure the security, accuracy, and maintenance of all permanent records, in all formats, of all current and former enrolled students in keeping with NC Community College System standards
  • Attend to the needs of the training sites and RiderCoaches
  • Develop and maintain databases of class report files for each Community College Program and Military Installations
  • Order supplies and textbooks and maintain inventory control as needed for coordinators to perform job duties
  • Use of advanced secretarial, administrative and clerical support to the Division to ensure effective and efficient daily office operations
  • Maintain an inventory of office supplies; and order office, instructional and custodial supplies, and equipment as needed through E-Procurement
  • Communicate with a broad range of faculty, staff, students and external groups
  • Answer telephones, transfer calls, maintain voicemail, greet visitors
  • Provide accurate information to public inquiries and refer students to appropriate training sites
  • Maintain RiderCoach files, current RiderCoach lists, develop and maintain database on students and new RiderCoach candidate applications and files
  • Develop training brochures, newsletters, and other public relation materials
  • The successful candidate will also be responsible for maintaining files of open and past purchase orders, coding invoices, verifying receipt and location of inventory, submitting revisions of expenditures to the Director for approval; and maintaining accurate financial records
  • Arrange accommodations for RiderCoach preparation classes
  • Coordinate annual updates and prepare materials for RiderCoaches to include statistical reports, charts, and graphs of the program for the preceding year
  • Maintain program website
  • Prepare correspondence, reports, and mailings for the program and for the Governor's Highway Safety Program
  • Provide quarterly insurance information to MSF and bill community colleges
  • Assist Director and Range and Equipment Manager as needed
  • Represent program at various events and meetings
