Bachelor’s degree, preferably in business administration or a related discipline from an appropriately accredited institution; or Associate’s degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience; or High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience; or an equivalent combination of education and experience.

The North Carolina Community College System (System Office) is a statewide network of 58 public community colleges. The system enrolls over 500,000 students annually. It also provides data to the North Carolina Learning Object Repository by collecting, contributing, and sharing digital learning resources for use in traditional or distance learning environments. NC Community Colleges System Office has an opening for an Executive Assistant I in the Programs and Student Services Division. The recruitment range: $41,429 – $51,000.

The Programs and Student Services Division provides leadership, assistance, and consultation to the 58 community colleges in the areas of academic programs, adult basic education, workforce development, continuing education, student success initiatives, financial aid, national post-secondary education policy research, institutional research, and performance management.  Staff within the Division develop and administer state-level policies and strategies to improve student access, enhance program quality, and increase student success.  In addition, the staff engages college faculty and administrators to develop, field test, evaluate, and disseminate best practices that support student success. 

DESCRIPTION OF WORK:  Position will provide administrative, programmatic, and clerical support to the Senior Vice President and Chief Academic Officer, assisting in the daily operations of the division. The individual must perform duties with minimal supervision, interact regularly with the Senior Vice President and staff, and serve as a liaison with various stakeholders and a resource within the division. Specific responsibilities in the position include but are not limited to the following: scheduling of calendar; internal and external communications; prepare materials for meetings and presentations under direction of and in support of Senior Vice President; coordinate division efforts and materials for State Board Program and Student Success Committee meetings and serve as recorder of meeting minutes; coordinate Senior Vice President travel schedule and manage all details; schedule meetings, attend and prepare minutes as needed, and take follow-up actions as requested by the Senior Vice President; monitor and process Senior Vice President travel authorization and reimbursements, purchase orders, invoices, etc.; serve as a liaison on divisional personnel matters; coordinate the activities of the division administrative support team (A team); coordinate ongoing activity and select projects with staff on behalf of the Senior Vice President; ensure successful onboarding of new division employees; ensure successful coordination of Excellence in Teaching award process; organize mail and initiate actions on behalf of the Senior Vice President; manage files, records, and reports; provide general direction and assistance to staff and perform other duties as assigned by the Senior Vice President to implement divisional goals and objectives.

KNOWLEDGE/SKILLS/AND ABILITIES: Must have advanced proficiency in a variety of software applications including word processing skills (Microsoft Word), the use of spreadsheets and graphics (Excel) and presentation packages. Must have planning, organizational and time management skills and a demonstrated ability to follow-through in coordinating complex projects and supporting multiple individuals. The candidate must also be flexible, team-oriented, service-oriented with good interpersonal skills. Ability to multi-task, problem solve, prioritize. Working independently (i.e., with little supervision) and working under pressure in a fast-paced environment is required. Must have excellent written and oral communication skills, judgment, and discretion in handling sensitive and confidential information. A strong knowledge of Community Colleges and State Government operations would be helpful.
