Minimum Qualifications
• Minimum of 3 years of office-related administrative experience
• Effective oral and written communication skills
• Proficiency in MS Office (Outlook, word processing, spreadsheet, and presentation software applications)
Preferred Qualifications
• Associate degree in a field appropriate for the position
• Experience working in an educational environment
• Experience using course and event scheduling software such as Colleague and 25Live
• Experience with web/video conferencing applications
• Experience managing budgets
Position Description
Job Description
The Academic Affairs Administrative Assistant is a 12-month, full-time position that may be assigned to any campus or location in Anson or Union Counties. Under the direction of the Academic Affairs Administrative Coordinator, the Administrative Assistant provides administrative support for the Associate Vice President for Student Success and Deans in the Division of Academic and Student Affairs.
Job Duties
• Exhibit an uncompromising commitment to SPCC
• Maintain Deans and Associate Vice President calendars as requested
• Schedule meetings, events and activities as needed
• Prepare agendas and type and distribute minutes for leadership meetings, department meetings,
faculty meetings and advisory board meetings
• Maintain attention to detail and complete tasks according to deadlines
• Supervise student assistants
• Maintain the SharePoint site and office records
• Maintain a variety of regular and confidential documents including general correspondence, reports, class schedules, forms, contracts, and memorandums from rough draft or from verbal instructions; prepare copies of documents; distribute information
• Assist in maintaining adequate forms and other office supplies
• Assist with maintaining budgets
• Process Sharepoint orders
• Serve as a liaison in the purchasing process
• Enter, edit, and maintain the schedule of classes each term
• Prepare contracts for part-time faculty and staff and overloads
• Assist in developing and/or implementing long- and short-range plans
• Participate in program reviews, conduct research and surveys, and prepare updates, reports, and plans
• Continue professional development for the improvement of self and the program to meet the needs of the Schools, its Programs, and the College
• Perform other duties as assigned
