Minimum Qualifications

•    Bachelors  degree from a regionally accredited institution in business administration, education, office administration, or related field
•    Three  years of related experience
•    Proficient in Microsoft Office including Word, Excel, PowerPoint, Zoom, and Microsoft Teams.

Preferred Qualifications

•    Master’s degree in business, education, higher education, social sciences, or related field
•    Experience in education or business 
•    Advanced proficiency in Microsoft Office including Word, Excel, and PowerPoint.
•    Demonstrated planning, organization, and time management skills.
•    Demonstrated ability to follow-through in coordinating complex projects and supporting multiple individuals and divisions.
•    Must be adaptable, collaborative,  service, and team oriented and possess good interpersonal and communication skills.
•    Ability to work independently while multi-tasking, problem solving, and prioritizing work in a fast-paced environment.

Position Description

The Academic and Student Success Program Coordinator/Assistant to the Vice President  reports to the Vice President of Learning, Student Engagement and Success/Chief Academic and Student Affairs Officer. This position performs academic and student success administrative duties necessary for the efficient operation of the office and division.  This person will lead both routine and highly complex administrative and programmatic support functions for the Division of Learning, Student Engagement, and Success.

•    Coordinates efforts with academic deans to write curriculum program applications for the academic units and assist with ensuring the applications are submitted to the North Carolina Community College System. 
•    Serve as one of the primary facilitators for holistic curriculum course scheduling for all four campuses.  
•    Actively participate in Academic Affairs Committee work and the entire academic affairs process at the college. 
•    Partner with VP and other leaders to ensure our work reflects student success and a growth mindset
•    Partner with Vice President to ensure that 2+2 agreements, co-admissions agreements, and other partnership opportunities are implemented in a seamless manner. 
•    Actively problem solve and triage parent and student concerns as an extension of the VP’s office while keeping the appropriate staffers informed of the matter. 
•    Partner with the Registrar to enter yearly Programs of Study through the North Carolina Community College System website. Position will serve as a consistent secondary option for this work. 
Facilitate key teaching and learning, student success, and student/parent sessions on behalf of the VP as assigned.
•    Assists the Vice President of Learning, Student Engagement and Success in planning, organizing, coordinating, directing, and executing the administrative functions of the office.
•    Performs complex, confidential, and sensitive administrative duties including independently responding to letters and general correspondence of a routine nature.
•    Partner with the Vice President to provide support for all departments under the supervision of Learning, Student Engagement, and Success.
•    Co-facilitates  the Vice President’s calendar for large scale meetings and assisting with resolving conflicts. .
•    Reviews, monitors, and submits monthly timesheets and leave forms pertaining to the Vice President’s direct reports.
•    Collaborate with deans to review, monitor, and submit monthly p-card reports for everyone in the division.
•    Reviews, monitors and submits Travel Authorizations for departments within the division.
•    Reviews, monitors, and submits required paperwork including Field Trip Requests, Secondary Employment Forms, Community Service Request Forms, or other forms requiring the VP signature or approval.
•    Purchases airline tickets and assists with hotel arrangements using the p-card as needed for departments within the division.
•    Makes travel arrangements and completes required forms for the Vice President of Learning, Student Engagement and Success.
•    Monitors the departmental budget for each area under the direction of the Learning, Student Engagement and Success department.
•    Enters and retrieves data using Colleague.
•    Monitors the class schedule and runs the R-25 report in the event of college  closings.
•    Monitors our applicant tracking program weekly for possible job postings and moves positions forward to HR for official posting.
•    Files and retrieves electronic and hard copy documents and reference materials.
•    Prepares reports by researching, collecting, and analyzing information.
•    Monitors, screens, and distributes incoming mail.
•    Serves as a liaison to internal staff at all levels.
•    Maintains confidence by keeping information confidential.
•    Coordinates meetings and records, transcribes, and distributes minutes. 
•    Completes adjunct employment contracts through DocuSign each semester.
•    Reviews and approves E-Procurement orders for each department within the Learning, Student Engagement & Success division.
•    Maintains office supplies inventory to include anticipating needed supplies, evaluating new office products, placing orders using E-Procurement, and verifying receipt of supplies. 
•    Ensures operation of office equipment by completing preventive maintenance requirements, following manufacturer's instructions, troubleshooting malfunctions, calling for repairs, and maintaining equipment supplies inventory. 
•    Maintains professional and technical knowledge by attending virtual, local, state educational workshops/trainings, reviewing professional publications, establishing personal networks, and participating in professional organizations.
•    Actively engage in process improvement through reviewing office procedures and make recommendations based on observations and research. 
•    Attend VP’s leadership team meeting on a bi-weekly basis.
•    Use data systems and student retention tools such Tableau, Aviso, etc..
•    Other duties assigned by the Vice President of Learning, Student Engagement & Success.

Physical Demands

•    Ability to lift up to 20 pounds occasionally and up to 10 pounds frequently as needed to move objects.
