Minimum Qualifications

Minimum Requirements (Applicant must meet all of the minimum requirements)

1. Bachelor’s degree in Accounting, Finance, Business Administration, or related field;
2. Three years of full-time or equivalent professional accounting experience;
3. Experience with finance, accounting, budgeting, and Generally Accepted Accounting Principles;
 

Preferred Qualifications

1. Master’s degree in Accounting or related field.
2. CPA or current CPA candidate or equivalent experience.
3. Community College, University or Governmental Accounting Experience.
4. Experience with Ellucian Colleague, Blackbaud Financial Edge NXT, or similar accounting software.
5. Proficiency in a foreign language such as Spanish, an East Slavic language, and/or American Sign Language.

 

Position Description

Job Description Summary

The Special Funds Accountant is responsible for ensuring the organization complies with grant and scholarship awards and creates accurate and timely financial statements. Ensures the integrity of accounting information by recording, verifying, allocating, reconciling, consolidating, and entering transactions. Analyzes financial information and summarizes financial status. The position reports to the Controller and works with organizational leadership to align funding and program strategies to fulfill the mission of the organization. Administers federal, state, local, and private grants, ensuring the College remains in compliance with all applicable fiscal rules and regulations; upholding an infrastructure where college staff have the necessary resources to effectively manage awards.

Duties

1. Maintains general ledger, including reconciliation of account balances and performs month-end and year-end closings. Assists in the development and maintenance of financial policies and procedures and the documenting and monitoring of key internal control procedures.
2. Adheres to internal control requirements, including journal entry posting guidelines and monthly account balance updates through adjusting entries.
3. Reconciles all Foundation bank and investment statements; posts monthly activity to ensure bank accounts balance to the general ledger. Distributes endowment and financial reports for donors and prepares scholarship reimbursement requests.
4. Prepares financial reports and Foundation Board reports in accordance with generally accepted accounting procedures. Provides staff support to the Foundation Finance Committee and all other financial support needed to aid various committees and the Board in their decision-making. Responds to requests for information and provides miscellaneous revenue/expenditure reports.
5. Coordinates year-end activities, including the annual audit and 990 with Foundation staff and attends Foundation Finance and Board meetings as requested.
6. Provides the monitoring and reporting of grant funds to ensure compliance with grant requirements, ensures that expenditures are consistently aligned with related grants and program budgets.
7. Assists with pre-award budget development and performs post-award budget revision reporting for grants.
8. Prepares and maintains reimbursement expenditure reports for grants, performs regular grant closures, and reconciles monthly grant reports and cash requests to monitor final grant reports for consistency to funding requirements.
9. Assists in the planning, design, development, and monitoring of budgets for the Foundation and assists the Executive Director, College Advancement in providing long-range financial forecasts for the Foundation.
10. Reviews and approves various transactions and reimbursement requests. Oversees the processing of accounts payable and cash receipts for all Foundation funds.
11. Regularly reads, analyzes, and interprets current laws, regulations, guidelines, policies and procedures, which affect the administration of federal, state, and non-profit funding; makes timely changes in work routine to adhere to new rules and regulations; develops/updates internal policies and procedures as needed to support grant and non-profit compliance.
12. Maintains compliance records and files; maintains and monitors funded programs reporting calendar; maintains archive of submitted program reports.
13. Assists departmental personnel with budget/accounting questions, proper expenditure coding, document processing and other accounting related activities.
14. Contributes to the College Vision, Mission, Values, and RISE statement.
15. Supports workforce diversity in all its aspects.
16. Performs other duties as assigned.
