Position Description

Job Summary: Under the direction of the Assistant Controller, the Accounts Receivable Specialist/Cashier is responsible for providing courteous, customer-oriented support to students, faculty and staff, and the general public. This position supports the financial services function. Essential Duties and Responsibilities: Duties and responsibilities include but are not limited to: • Processing walk-in, and mail-in, registration payments. • Receipting funds received for the college from all sources, which includes but is not limited to: student payments, third-party sponsorship payments, electronic fund transfers, and donor gifts and scholarships. • Maintaining a ledger spreadsheet of all electronic payments to assist with bank reconciliation. • Assisting students with all questions pertaining to payments, refunds and deadline dates. • Update and maintain student business office holds. • Maintenance of change drawer and petty cash drawer to include issuing petty cash funds to faculty/staff. • Keeping up with supplies needed for accounts receivable area and submitting orders to e-procurement user and print shop. • Maintaining accounts receivable files, both hard copy and electronic by keying data, sorting, copying, scanning, filing, and assembling all accounts receivable documentation. • Maintaining a log for all manual receipt books and lock boxes for check out. Related Responsibilities: • Assist with the monitoring of student accounts to determine amount and eligibility for refund payments due from dropped classes. • Assist with maintaining accounts receivable accounts. • Performs data input through a PC and 10-key adding machine. • Works closely with Continuing Education, Bookstore, local businesses and others within the department and the College. • Maintain a professional and positive relationship with students and outside institutions. • Maintains an environmentally safe and professional work area. • Other duties assigned by Assistant Controller, Controller or VP for Finance and Administration. Knowledge, Skills and Abilities: • Problem solving and analytical skills • Self-motivated and able to work with little supervision • Effective and professional written and oral communication skills and organizational skills • Understanding of and commitment to open-access community college philosophy, diversity issues, and service delivery technology • Ability to communicate effectively both orally and in writing with and among a diverse population • Use tact and confidentiality in dealing with personal and private matters • Ability to work efficiently and effectively under pressure and against deadlines Education and Experience Requirements: • Associate’s Degree in Accounting • Two years of accounting experience • The equivalent combination of education and related work experience may be considered • Proficient in the use of Word and Excel to produce accurate, professional documents Physical/Other Requirements: • Flexible schedule • Evening hours • Ability to lift and carry up to 50lbs • Ability to stand for extended periods of time • Ability to work in a confined area and bend and stoop • Travel overnight occasionally for training and conferences • Ability to maneuver between buildings and campus locations with ease Surroundings/Environment: Standard office environment, usually indoors away from the elements, with moderate noise. Physical Effort: While performing the duties of this job, the employee is required to maintain a stationary position for an extended period; move about the office, operate and position computers and files, as needed; and frequently communicate with others. The employee may occasionally move up to 25 pounds Scheduling: This is a full-time position, working Monday through Friday, 8:00 a.m. – 4:30 p.m. An employee in this positon must be available to work occasionally on weekends and evenings, during peak periods. Travel: Local travel is required, including between campus locations. Out of state travel is limited, but may be required for special trainings/conferences.
