Minimum Qualifications

- Bachelor’s Degree in Business or an Associate Degree in Applied Science in Office Systems Technology, Office Administration or related field or equivalent combination of education and experience
- Five years of experience in office management, or extensive background in a complex organizational setting
-  Proven record of exceptional working knowledge of Microsoft Office applications, specifically, Word, Excel, and Power Point presentations
-  An individual who has well-developed interpersonal skills, is an effective communicator (both written and orally); can multi-task, has superior organizational abilities, and computational skills
-  Ability to maintain a positive attitude during stressful periods, can adjust schedule during peak periods, and possesses a strong work ethic

Preferred Qualifications

- Knowledge of state and/or local government budgets, procurement and purchasing processes

- Experience in maintaining a calendar of periodic reports and scheduling; handling confidential and sensitive information, prioritizing among multiple tasks, and meeting established deadlines

- Effective discretion in the handling of confidential information and sensitive materials

- Highly advanced knowledge of office skills and exceptional professional conduct preferred.

- Ability to reconcile monthly credit card statements, remind VP, Leadership Team and staff of renewals of MOU’s, college agreements, and other annual documents.

- Can compose and edit letters of correspondence and messages, completes all mailings on a timely basis, performs notarial duties as needed, and maintains minutes of meetings

- Three years of experience in an academic setting; community college experience preferred

- Proven ability to work with diverse population including trustees, administration, faculty, staff, and students

- Working Ellucian (Colleague) knowledge is preferred

 

Position Description

GENERAL FUNCTION:

Under general supervision the administrative assistant works in a collaborative team manner to provide clerical, organizational, financial and administrative support for the VP of Business Operations and the College. This includes, but is not limited to performing a variety of confidential and independent administrative duties, assisting in the coordination of general operations and special projects for the VP.

ESSENTIAL DUTIES:

- Providing information and assistance to the VP’s Leadership Team and staff

- Assisting in the management of the VP’s schedule and appointments

- Coordinate travel arrangements

- Prepares agendum for staff meetings

- Prepares and briefs the VP regarding documents that require signatures

- Coordinates all meetings hosted by the VP and reserves meeting spaces as requested.

- The Administrative Assistant may be called upon to learn and perform simple financial duties, such as reconciling bank statements or organizing materials requested by external state and local governments.

- Data entry, reception, maintains inventory of office supplies, completes requisitions, distributes mail, handle incoming calls

- Operates and maintains various office equipment including copiers, printers, computers, scanner and fax machine

- The assistant will be expected to work effectively and cooperatively with the internal and external publics and co-workers in the execution of their duties.
