Administrative Assistant- Academic Support Center PT

OCCUPATIONAL SUMMARY:

The Administrative Assistant is responsible for providing administrative, clerical and technical support for the Academic Support Center. The position will maintain all records related to tutoring, tutoring referrals, and Academic Support Center services. The Administrative Assistant will also record activities and contacts in the AVISO and TutorTrac systems, run and correct reports, assist with event planning, research, communicate with employees, and direct center traffic. This position may be required to assist on the College switchboard during peak registration times.
This is a PT 29 hours per week position.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Performs a wide variety of responsible clerical, technical, administrative and office support duties in support of the department
  • Coordinates front desk details including greeting visitors, answering and placing telephone calls, appointment scheduling and reminders and presenting accurate information regarding services to students and the College
  • Inputs, retrieves and assembles computerized data for tutoring referrals, annual reports and program evaluations; performs data entry and auditing requirements
  • Provides general clerical and administrative support to the department; composes and types correspondence; prepares a variety of reports
  • Serves as the initial point of contact with the student population
  • Maintains an annual events calendar as directed
  • Assists with maintaining employee schedules and tutoring schedules
  • Prepares purchase requisitions and orders supplies for the department; maintains all inventory and equipment
  • Designs program marketing materials including brochures, flyers, email notifications and announcements as needed
  • Performs other job-related duties and projects as assigned in support of the College's mission, core values and goals

MINIMUM QUALIFICATIONS:

High school diploma or equivalent.

Two (2) years' experience in an office environment performing administrative tasks.

Experience with database management systems.

Knowledge

  • Intermediate knowledge of clerical processes and procedures and standard office procedures; practices and equipment
  • Intermediate knowledge of report preparation and recordkeeping processes

  • Intermediate computer skills and technical proficiency in Microsoft Office applications
  • Effective verbal, listening and written communications skills
  • Attention to detail and high level of accuracy
  • Very effective planning, coordination and organizational skills to meet work deadlines
  • Interpersonal skills with proven ability to work in a team environment
