Minimum Qualifications

An Associate’s degree from a regionally accredited institution with one to three years of relevant work experience in an office environment is required. Applicants must demonstrate a working knowledge of Microsoft Office programs. Candidates must possess strong organizational skills with attention to detail and accuracy. The assistant must be able to work independently, make minor decisions using good judgment, prioritize tasks, and take direction.

Preferred Qualifications

A National Career Readiness Certificate and Bilingual are preferred.

Position Description

The assistant provides administrative support to the Applied Technologies Division. Task requires confidentiality, initiative, and judgment to establish work priorities and organize tasks to meet required schedules efficiently and effectively, and at times while under pressure to meet deadlines. The assistant completes contracts for part-time instructors for both curriculum and continuing education. The successful applicant must be able to provide excellent customer service in a timely, cooperative, courteous, and professional manner and must be familiar with Microsoft Office programs. The assistant must be able to utilize office machines and compose minutes for division and committee meetings in a timely manner as well as letters or memos for the division, utilizing correct grammar and spelling. The assistant will be responsible for entering schedules into Colleague, as well as running appropriate reports from both Colleague, SelfService, and Informer. The assistant will be responsible for distributing and collecting the daily mail, college and course reports, ordering supplies via the E-procurement/WORKS System, and monitoring offices and phone coverage for the division. The assistant will be responsible for completing travel requests and reimbursements and any other duties assigned by the Dean to include but are not limited to supervision of work-study students.
