Minimum Qualifications

Education           

A.A. or A.A.S. degree in Office Systems Technology or related field.

Knowledge and Skills    

At least two years’ experience in an office administration setting. Excellent computer software application skills and communication skills. Excellent follow through, attention to detail, and ability to maintain confidentiality. Ability to establish and maintain effective working relationships with students, faculty, staff, and visitors. 

Demonstrated proficiency with office software applications currently used including: Microsoft Word, Excel, PowerPoint, and Google Suite.

Preferred Qualifications

Prefer experience with Datatel/Colleague.

Position Description

Statement of Primary Purpose

To provide administrative and clerical support to the Dean of Career Technologies.

 

Classification

Full-time, non-exempt staff, Office Support

 

Essential Functions and Responsibilities

• Provide administrative and clerical support for the Dean of Career Technologies.

• Answer division office phone, respond to routine requests, and route messages appropriately.

• Maintain an open, friendly, helpful office environment while performing high quality work with integrity and confidentiality.

• Provide information and assistance to students and faculty.

• Collect and process syllabi, door schedules, leave requests, travel authorizations and reimbursements, field trip memos, and missed instruction forms.

• Maintain computer-filing system and keep accurate records.

• Calculate pay for part-time instructors/assistants, produce contracts, submit to business office, and provide monthly report for payroll.

• Maintain Career Technologies’ semester class schedule by entering classes and updating in college computer system.

• Facilitate, maintain, and update room schedule for classes, outside groups, and continuing education programs.

• Purchase equipment and supplies by working in the E-Procurement system, following NC State Division of Purchase and Contract guidelines and assist with acquiring quotes and bids.

• Create memos, letters and documents to assist with division correspondence.

• Coordinate meetings and special functions.

• Enter student registrations to assist dean and advisors.

• Perform other duties as necessary.

Physical Demands          

Light lifting of office supplies. Bending, stretching, and walking for filing and special events.

 

Working Conditions and Environment

Typical campus office environment. Occasional evening work required during special events.  Occasional travel for training and meetings.

Equipment Operation

Software programs and routine office/computer equipment.
