Position Description

In support of the overall Career and College Promise (CCP) program, which includes Early College (EC), and the SCC Small Business Center, the assistant will offer operational support to the Career and College Promise, Stanly Early College, Stanly STEM Early College, and the Small Business Center. The individual is responsible for a variety of administrative functions, good customer service skills, initiating, coordinating, and performing administrative functions required for the effective operation and support of the Small Business Center and CCP/EC.  Position reports to the Director of the Small Business Center in conjunction with the office of Career & College Promise/Early College. 

ESSENTIAL JOB FUNCTIONS – CCP/EC:

  • Assist with keeping the paperwork organized for enrollments; uploading transcripts, ensuring proper paperwork is in place
  • Assist with processing registration of CCP/EC students
  • Assist with processing registration for homeschool and out-of-county requests
  • Assist students with SCC application questions & follow up with students on SCC application issues at various high schools as time permits
  • Assist with the preparation of the SCC summer CTE camps

ESSENTIAL JOB FUNCTIONS – Small Business Center

  • Staffing the office Monday through Friday
  • Maintain extreme confidentiality with client information
  • Consistently operate with high attention to detail

OTHER DUTIES – CCP/EC:

  • Inform CCP/EC students of new student orientation requirement
  • Assist with processing Early Alerts and maintain appropriate correspondence with current students (e.g. performing a check-in with students, especially students identified as “at-risk” and on academic probation) as time permits
  • Attend state and regional meetings for program updates and professional growth and to remain current with CCP operating guidelines
  • Follow a communication plan to ensure consistent communication (start/end dates, rosters, etc.) with students, faculty, staff, parents, etc. as time permits
  • Assist with the development and maintenance of education planning/advising materials for all pathways as time permits

OTHER DUTIES – Small Business Center:

  • Customer service – greeting visitors, answering the telephone/taking messages
  • Building seminars in CMS (Client Management System)
  • Develop contracts / request approval
  • Building seminar folders in accord with SBCN policy
  • Registering attendees, when needed
  • Marketing, seminar preparation, verification and follow-up:
  • Development of flier / marketing image(s)
  • Post to social media sites (Facebook, Instagram, etc.)
  • Include in Constant Contact emails
  • Special email/outreach, as needed
  • Communicate with the presenter approximately a week before the seminar date to request any files needed for handout materials
  • Reminder emails to registered seminar attendees
  • Monitor attendee registrations and communicate with SBC Director.
  • Seminar Preparation:
  • Print any handouts sent by the presenter
  • If a PowerPoint is sent by the presenter, prepare appropriate technology
  • Set up seminar room
  • Process signed contracts
  • Scan and note evaluations completed by seminar attendees
  • Tally attendee signatures on signature roster
  • Make final verification of seminar if registration/signature totals match
  • Input/update seminar attendee emails in Constant Contact
  • Occasionally open a seminar in place of the Director
  • School Dude – online maintenance requests
  • Process cleaning invoices for Groves Building
  • E-Procurement (office supplies, coffee/kitchen supplies, etc.)
  • Assist director with monitoring budget expenditures and with preparation/submission of the mid-year budget report
  • Communication - Ensure details of upcoming SBC events are forwarded to each of these individuals/organizations monthly:

                  -SCC News Flush – send an email to the SCC Director of Counseling

                  -ADDC – send an email to the Director/Main Street Manager, admin@albemarledowntown.com

                  -Email Director of Stanly County Chamber of Commerce

  • Assist with Advisory Committee and other groups
  • Grounds for Business – Prepare the location for the event each month, communicate with guest speaker, email event reminders, assist with follow-up
  • Turn in the signed/dated timesheet at the end of each month
  • Assist with the maintenance of client records in CenterIC
  • Assist Director with Impact Surveys and preparation of Annual Report
  • Ensure all seminars have been verified and all paperwork is arranged and attached, in order, to the seminar folder.

General College Duties

  • Maintain a collaborative working relationship with college staff, local schools, community businesses, and local industries
  • Regularly utilize campus’ electronic media including, but not limited to, email, Self Service, Datatel/Colleague, and the Learning Management System (LMS)
  • Perform other duties as assigned.
