Minimum Qualifications

Associate degree in business administration or secretarial science and one to two years of secretarial experience; or any equivalent combination of education and experience, which provides the required skills, knowledge, and abilities.

SPECIAL REQUIREMENTS
Serves As Notary Public for the PCC Police Department.
Encodes long range plan goals and objectives, maintains strategic planning data for the Police Department and shares with Divisional Office as needed.
Must be able to adapt to performing under stress when confronted with an emergency.

Preferred Qualifications

Physical Requirements:  Must be physically able to operate a variety of automated office machines including copier, computer, typewriter, etc.  Must be physically able to exert up to ten pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Position involves mostly sedentary work, which requires sitting most of the time, but may involve walking, standing, or stooping for brief periods of time.  Must be able to lift and/or carry weights of approximately twenty pounds.
Data Conception:  Requires the ability to compare and or judge the readily observable functional, structural, or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things.
Interpersonal Communication:  Requires the ability of speaking and/or signaling people to convey or exchange information. Includes the giving of assignments and instructions to assistants.  Includes the receiving of information and instructions from supervisor.
Language Ability:  Requires the ability to read a variety of documents and reports.  Requires the ability to prepare and/or types documents and reports such as newsletters, objectives, graphics, and general letters of correspondence, etc., using the proper format, punctuation, spelling and grammar. Requires the ability to communicate with co-workers, supervisor, other staff members, students, instructors, etc. with poise, voice control, and confidence.
Intelligence:   Has the ability to apply rational systems such as computer operations, secretarial science, human relations, etc., in order to solve problems and deal with a variety of concrete variables in situations where only limited standardization exists; to interpret a variety of instructions furnished in written, oral, diagrammatic, or schedule form.

Knowledge of Job:  Has thorough knowledge of the methods, policies, and procedures of the Administrative Services Department as they pertain to the performance of duties of the Administrative Secretary. Has good working knowledge of clerical and secretarial practices and procedures as they apply to the functions of the Department.  Has thorough knowledge of office practices and procedures and the care and use of a variety of office machines and equipment used in dispatching, record keeping, and report preparation. Is able to type at the required corrected rate.  Is able to understand and apply established rules, procedures, and instructions to the maintenance and preparation of incident reports and records. Has working knowledge of laws, rules, policies, and regulations that apply to the functions of the Department. Is able to collect, compile, and assemble information clearly and concisely. Position Description

Under limited supervision, performs a variety of clerical and administrative duties primarily in support of the Chief of the Campus Police Department and his Administration. In addition, this position provides back-up for the reception/dispatcher area, as needed.

Provides assistance to students as needed and maintains filing system for the Police Department in order to meet all legal requirements mandated by the State of NC. Reports to the Chief of Police and assists in supervision of the Reception/Dispatcher area.

The Administrative Assistant to the Chief of Police drafts and submits correspondence and memorandums on behalf of the Chief of Police and his Administration upon approval and in addition processes proper documentation as requested.  With limited supervision, critical thinking skills are essential, in addition to the ability to safeguard confidential data in an appropriate manner.  Must be able to work effectively under pressure, demonstrate discretion at all times, and provide dependable, accurate and proactive professional and personal administrative support to the Chief of Police. 

Additional requirements include strong computer and internet research skills in addition to schedule flexibility and project coordination skills.

The Administrative Assistant to the Chief of Police assures data management through creation and maintenance of a filing system and indexes of the existing files for the Police Department. Routinely purges existing files as needed.  Receives and handles all telephone communication for the Chief of Police in addition to serving as his receptionist and office manager. Processes petitions to travel, reimbursements, correspondence and coordinates schedule, meetings, appointments and travel arrangements for the Chief of Police and Administration as needed.

Processes payroll documents and other related personnel action documentation for the PCC Police Department.   Maintains inventory of office supplies and procures such supplies as needed.  Prepares requisitions for supplies, equipment, etc. and codes to appropriate accounts. Dispatches police officers to on-campus emergencies.

Is familiar with DATATEL and E-PROCUREMENT processes.  Processes general departmental mail received (that is not designated to a particular person or department) as well as mail for the Chief of Police.  Duties include opening, sorting, screening, classifying, date stamping, and distributing departmental mail.

Provides assistance to students concerning parking decals; photo ID cards; temporary parking passes.

Enters a variety of data into the computer system concerning parking decals; types correspondence, memos, and other documents as requested; makes copies and distributes documents as requested.

Confers with staff, faculty, students, general public, Sheriff's office, and 911; conducts inquiries with Sheriff's Department to identify vehicle owners for the purpose of citations.
Informs officers and administration of emergency weather alerts.

Receives and/or reviews various records and reports including inquiries, issues, records, reports, correspondence, memos, etc.

Prepares and/or processes various records and reports including reports, records, correspondence, etc.

Refers to policy and procedure manuals, computer manuals, codes / laws / regulations, publications and reference texts, etc. to ensure compliance.
 
Operates a variety of office equipment such as computer, scanner, printer, telephone, calculator, etc.
Interacts and communicates in a professional manner with various groups and individuals including co-workers, staff, and the general public.
 
Assists in maintaining the campus key system.

Prints and distributes weekend class schedule for officers on weekend duty.

Performs other duties as required.
