Minimum Qualifications

Required educational background:

  • Associate Degree in Business Administration, Administrative Office Technology or related field, and 
  • One year of office experience, or
  • Equivalent combination of education and experience

 

Required knowledge, skills and abilities:

  • Excellent communication (verbal and written), organization, and human relation skills required. Detail oriented, accurate, and capable of multitasking.
  • Demonstrate advanced ability to utilize Google Docs, Microsoft Word, PowerPoint, Publisher, and Excel.
  • Operate office equipment including multi-line telephone, fax machine, photocopier, calculator, and computer.
  • Ability to multitask

Preferred Qualifications

  • Experience working at a Community College.
  • Experience in using the Datatel database system.
  • Preferred experience in a busy office environment managing multiple tasks at one time.

Essential Duties

 

GENERAL CLERICAL:

  • Provides clerical and administrative support to the Department Chair, staff, and faculty across all areas of instruction in the Barbering and Cosmetic Arts Department.   
  • Assist with coordinating and maintaining systems developed for three County communications, semester schedules, contracts, book orders, and daily administrative paperwork.
  • Coordinates front office activities and provides superior customer service to public, students, faculty, and staff.
  • Primary receptionist for Lee Cosmetic Arts. Answers, directs and resolves all incoming calls, emails, and in person questions from community partners, visitors, faculty, and staff.
  • Updates clinic voicemail and facility signage to reflect current program information and/or hours of operation.
  • Maintains money bag and petty cash for Cosmetic Art programs, to include traveling to local bank to obtain change for clinical operations. 
  • Balances daily clinic receipts, compile copies of receipts for the department file and submit originals to the business office with cash.
  • Accepts carrier shipments and sends out mailed materials.
  • Assists instructors with office equipment related issues.
  • Prepare office related forms, make copies, send copy requests to the copy center.
  • Maintains filing system, printers, and copiers.
  • Manage and audit department specific files 
  • Assists accounts payable as needed with bill processing questions.
  • Conducts building tours as needed.
  • Maintains front office supplies through inventory and ordering as needed.
  • Orders all needed office supplies, door tags, name tags for new and established instructors.
  • Resolves computer link malfunctions to main printer through communication with IT, filling out help desk requests, communicating with instructor having the problem to resolve the issue.
  • Troubleshoots equipment and computer problems; schedule equipment maintenance as requested.
  • Communicates with IT Helpdesk for any computer and overhead projector equipment failures or installs.
  • Generate correspondences, memos, presentations, and meeting materials for Cosmetic Arts faculty; copy, collate, and bind when necessary.
  • Participate in departmental planning, evaluation, and implementation of improvements.
  • Arrange departmental meetings as requested.
  • Take minutes during all departmental meetings.
  • Implement delegated tasks after each meeting.
  • Prepare, edit, format, and compile documents for accreditation, programs, and events.
  • Secure meeting and other required documentation for state and national accreditation requirements.
  • Assists faculty with proctoring of tests and inputting of evaluation data as requested.
  • Prepare office related forms, make copies, and send copy requests to the copy center as requested. 
  • Data entry of all student performances and grades for the Harnett Main Campus Cosmetic Art programs.

     

    SCHEDULING/EVENTS:

  • Coordinate departmental events such as: department meetings, advisory board meetings, orientations, recruiting events on and off-campus, Barbering and Cosmetic Art graduation ceremonies, student activities, etc. 
  • Coordinates physical plant responsibilities related to facility needs for Cosmetic Art events.
  • Developed and maintains a system and schedule of all classes and events held in the building for Cosmetic Arts.
  • Assists faculty with scheduling and coordinating advisory committee meetings and graduation ceremonies
  • Maintain communication with instructors on class changes for the Lee Cosmetic Arts Department and NC Board of Cosmetic Art Examiners updates
  • Organize, collect and distribute mail to the faculty in the Cosmetic Arts Department, located in Lee Cosmetic Arts facilities.
  • Maintain posting of rules within the clinic areas in accordance with the rules and regulations NC Board of Cosmetic Art Examiners. 
  • Maintain knowledge of technical support and aid faculty and students with department/college computer applications.

REQUISITION/ACCOUNTS PAYABLE RESPONSIBILITIES:

  • Prepare requisitions for clinic, lab, and office supplies based on instructor order requests/and send them in for processing.
  • Enter requisition items into eProcurement after approved by appropriate Director.
  • Retrieve orders, inventory the items, and send the packing slips/invoices to accounts payable.
  • Assist accounts payable as needed with bill processing questions.
  • Prepare requisitions for clinic, lab, and office supplies based on instructor order requests/and send them in for processing.
  • Enter requisition items into eProcurement after approved by appropriate Director.

 

PHYSICAL PLANT:

  • Submits work orders to the plant maintenance department with regards to facility maintenance needs in the Lee Cosmetic Arts facilities. 
  • Assist students/faculty/staff/security in the event of an emergency situation (pull student health form, call for assistance and notify the proper chain of command).
  • Ensures all equipment is shut down.

 

OTHER DUTIES:

  • Serve on College committees as assigned.
  • Complete the annual five-hour staff development.
  • Encourage and support College activities, policies, procedures, and philosophies.
  • Perform other duties as assigned.
