Administrative Assistant - Financial Aid

SALARY:$15.00 Hourly

OCCUPATIONAL SUMMARY:

The Administrative Assistant is responsible for providing clerical, administrative and project support to the Executive Director of Financial Aid and other Financial Aid staff members, as well as provide customer service to students. This position maintains current general knowledge of appropriate college and departmental policies, processes and procedures in an effort to ensure efficiency and integrity of the department. Serves as a point of operational and administrative contact for students on a variety of financial aid matters. Participates in the coordination, control and completion of special projects.

ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Performs a wide variety of responsible clerical, technical, administrative and office support duties in support of the College’s Financial Aid department
  • Provides customer service and a swift response rate, both in-person and by telephone; screening and directing telephone calls; taking and relaying messages; answering questions from students, employees and the general public
  • Provides general clerical and administrative support to the department
  • Scans and creates electronic financial aid records
  • Researches, compiles, and analyzes data for special projects and reports
  • Evaluates withdrawals and automatic withdrawals as they come into Financial Aid and forwards to appropriate staff members
  • Completes class attendance verifications for each academic term
  • Checks for Unlinked ISIRs daily and email students as necessary
  • Answers and forwards as necessary Financial Aid email throughout the day, filing all Financial Aid emails in appropriated file after action is completed
  • Assists students with completion of FAFSA in-person, on WebEx, by phone and by email
  • Trains work-study students on how to assist students to complete the FAFSA
  • Assists financial aid advisors with walk-in students
  • Completes special projects as assigned
  • Performs other job-related duties and projects as assigned in support of the College’s mission, core values and goals

MINIMUM QUALIFICATIONS:

High school diploma or equivalent.

Two (2) years’ experience in an office environment.

Preferred:

Associate’s degree from a regionally accredited institution of higher learning.

KNOWLEDGE, SKILLS AND ABILITIES:

Knowledge

  • Intermediate knowledge of clerical processes and procedures and standard office procedures; practices and equipment
  • Knowledge of federal, state and college financial aid regulations and guidelines
  • Knowledge of basic tax forms
  • Knowledge and understanding of student financial needs
  • Knowledge of FERPA requirements

 

Skills

  • Intermediate computer skills and technical proficiency in Microsoft Office applications
  • Effective verbal, listening and written communications skills
  • Attention to detail and high level of accuracy
  • Very effective planning, coordination and organizational skills to meet work deadlines
  • Works effectively in a team environment with a customer service focus

  • Ability to learn and perform basic student services information systems data entry and database maintenance
