Minimum Qualifications

  • Associate Degree from national accredited institution.
  • Excellent written and oral communication skills
  • Excellent organization skills
  • Proficient in technologies and programs commonly used in collegiate courses such as email, Adobe Reader, Microsoft Office products
  • Ability to work effectively and collegially with others
  • Ability to respond to change

Preferred Qualifications

  • Associate’s degree in Business, Computers, Information Technology, Office Systems or related field 
  • NC Community College experience
  • Experience with Ellucian Colleague System

Position Description

This position will work collaboratively with the Dean of Health Science and Public Service Technologies, the faculty and the staff of the division to serve as the receptionist for the division/building(s) as assigned and provide administrative support to credit and non-credit programs for the division in the following ways 1) General Support 2) Faculty Support 3) Reporting and Record Keeping.

General Support

  • Provide administrative support for the Dean, faculty, and staff of the division, including but not limited to, Owens and Advanced Technologies
  • Service as primary point of contact (receptionist) for assigned building(s) and division/building(s) general incoming calls
  • Assist with communication and coordination of students, faculty, staff and visitors for the assigned building(s)
  • Perform general office support to the division, including sorting and distributing mail; maintaining files – both hard and e-copy; supervise the use and care of office machines and supplied, as well as maintaining appropriate inventory records; process purchase requests and invoices; coordinate the copy requests of faculty with the print room
  • Work to resolve in a positive way student issues in the absence of the Dean, faculty and staff
  • Assist with design and maintenance of bulletin boards, and other promotional material for the division
  • Participate in College committees and initiatives as requested to support the mission
  • Manage records and maintain the confidentiality of information and privacy of employees at all levels within the Division and college
  • Coordinate arrangements for meetings and travel, generating and routing paperwork in accordance with college processes
  • Coordinate and schedule use of rooms/conference or outside group meeting spaces as related to division’s areas
  • Works collaboratively with part-time staff to ensure seamless communication, assistance and learner support
  • Assist with preparation of spreadsheets, presentations, and other materials for division as needed
  • Work with division personnel to input and maintain accurate course schedule information
  • Perform data entry and maintain/update information in campus systems as needed
  • Assist with training, coordinating and scheduling of work study student(s) for the division 

Faculty Support

  • Assist with advisement and registration
  • Collaborate with faculty and staff for the development and publication of instructor schedules to be posted outside offices
  • Order and collect supplies for classes as needed
  • Assist with duplication and dissemination of information for adjunct faculty or part-time staff within the division
  • Assure that the mailroom/workroom area is ready for evening and 8:00 am faculty arrival
  • Assist with maintenance and review of program specific requirements to internal and external partners (example: immunization records, internship/clinical contract requirements)
  • Assist with classroom assignments and coverage of classes for faculty under the supervision of the Dean

Reporting and Record Keeping

  • Assist staff with the collection and documentation of adjunct faculty employment information 
  • Maintain data for courses, retention efforts, learning assistance tracking and other student success initiatives
  • Assist with collection and compilation of data related to courses and services
  • Monitor paperwork completion/accuracy of faculty, including adjunct faculty in collaboration with staff
  • Assist with generating and distributing reports for inventory, budget, student and program learning outcomes
  • Participate in in and assist Dean to coordinate division/department meetings including recording minutes and preparing an agenda
  • Assist with processing monthly division payroll for adjunct instructors and part-time staff
  • Work collaboratively with Institutional Effectiveness for the needed data to develop reports for the dean, professional staff, and faculty of the division and college
  • Assist Dean with tracking and documenting instructional flex leave or missed class time
  • Assist Dean with tracking and documenting instructional missed class forms, reconciling to college operation hours (example: inclement weather missed instruction times/days)
  • Assist Dean with assignment of office keys for faculty and staff within the division
  • Perform other duties as assigned which support the College mission, purpose and initiatives

Division Specific Duties

  • Perform data entry in Ellucian Colleague system for faculty, staff, dean, and other instructional and professional staff in the Division
  • Assist with accreditation agencies documentation

Perform other related duties as incidental to the work described herein.
