Position Description
Position Summary
Under direct supervision, the Administrative Assistant I provides administrative support for the Registrar’s Office.
Essential Duties and Responsibilities
- Prepares and sends transcripts /placement test scores to schools, colleges and other institutions as requested
- Processes administrative and student withdrawals
- Add/end restrictions in Datatel regarding required material under CRI and PERC
- Research student profile if Advisor has problems registering students; assist with adding/dropping students from courses; process registration forms; print schedules as needed
- Update student information from DPI/multiple measure report
- Process transcript requests and research microfilm when necessary for archived transcripts
- Process information for change of major/double majors
- Process student information for those who have completed FERPA forms
- Receive transcripts via mail, email and CFNC; research credits/determine if equivalent to MCC; enter transferable courses into Datatel; prepare correspondence to students; receive placement test scores and verify on student profile
- Prepares notebooks for each semester for registration, withdrawal, placement tests, forms, etc
- Answering phones, directs calls, greets students, faculty, staff and general public
Other Important Duties
- Process department mail
- Update bulletin boards/monthly calendars
- Assists with entering grades at semester end
- Assists with graduation/commencement procedures such as entering graduation information into Datatel, ordering and distributing cap and gown packets, preparing degrees and diplomas
Knowledge, Skills and Abilities
- Skills in keyboarding, filing, basic mathematics and computer operations
- Experience using Microsoft Office Suite
- Good oral and written communication skills
- Excellent customer service skills
- Ability to handle confidential material
