Position Description

In support of the overall Learning College, the Applied Sciences and Engineering Technology Administrative Assistant II provides assistance to the dean, as well as to faculty, students and the community.

 

Essential Responsibilities

  1. Greet customers, ascertain nature of business, assist if possible or direct students or visitors to appropriate person(s)
  2. Answers telephone and gives information to callers or routes call to appropriate official and places outgoing calls
  3. Obtain pricing information, submit e-requisitions, and process material and supply and equipment orders; receive incoming orders and check for accuracy and completeness
  4. Prepare and monitor contracts for adjunct faculty and part-time staff for assigned areas
  5. Assist Dean with semester schedules and ensuring accuracy prior to printing
  6. Maintain and update all scheduling of classes in Colleague and monitor for accuracy
  7. Schedule all room assignments for division
  8. Assist with student registration and be available for announce periods
  9. Monitor the waiting list for the division classes each semester
  10. Responsible for all supply and equipment inventory records, including processing surplus and transfer cards
  11. Maintain personnel files for the division
  12. Perform routine office work including but, not limited to, routing incoming and outgoing mail, preparing documents, filing correspondence and records, and schedule appointments
  13. Composes routine correspondence
  14. Assist dean and faculty with assessment reports and data, including program review
  15. Take notes and prepare minutes for division meetings and other committees and teams as assigned
  16. Make arrangements and process appropriate paperwork for division travel
  17. Electronically submit curriculum revisions to Curriculum Committee
  18. Make copies of correspondence or other printed matter using and maintaining copying machines.
  19. Other duties as assigned
