Applicants should possess a Bachelor degree in Business or a related field, a minimum of three years administrative support or experience as an executive assistant, problem solving ability, and intermediate Microsoft Office experience. Preferred qualifications include experience in accounting, payroll, or finance, two years' experience in human resources, and experience in a community college or higher education setting.

Provides executive level administrative support, exceptional customer service to employees, students, and visitors, arranges travel and prepares appropriate correspondence, and schedules meetings. Maintains calendar and reports to the Vice President of Human Resources.
Manage and maintain schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
Answering and directing calls to appropriate parties, recording appropriate messages.
Greeting visitors and determining access to appropriate offices.
Opening, sorting, and distributing correspondence, including faxes, and mail.
Collect and analyze information to prepare reports.
Routing correspondence to appropriate personnel in a timely and efficient manner.
Develop and utilize historical information, including providing retrieval of information.
Record meeting discussions and provide minutes.
Maintain inventory and office supplies. Anticipate office needs, evaluate new office products, place department orders.
Ensure operation of office equipment, order maintenance when necessary. Troubleshoot malfunction of office equipment.
Support payroll processing and answer questions.
Maintain knowledge by attending professional and technical educational seminars and workshops and review publications.
Data analysis includes proficiency in Mircosoft Access, MS Word, Excel, and Outlook.
Monitor finances and departmental budget usage.
Prepare responses to memos, letters, or correspondence.
Provide administrative support to other offices. Delegate tasks and responsibilities to other staff members as needed.
Maintains and recommends changes to the records management system, knowledgeable of records retention rules.
Interact with customers when appropriate and problem solve. Document complaints and develop an appropriate course of action. Report problems to appropriate associates.
Prepares documents associated with award requests from the NC Governor, report of Retirees receiving Resolutions and Cardinal or Long Leaf Award;
Schedules employee exit interviews.
Maintains state retiree and military veteran address logs.
Schedules and coordinates monthly birthday celebrations.
Performs other related duties as required.
