Minimum Qualifications

An Associate Degree in Business Administration, Paralegal Technology, or Office Administration with three to five years of secretarial experience preferably in a community college environment is required or any equivalent combination of training and experience which provides the required skills, knowledge, abilities, and behaviors.  Must type at the corrected rate of 50 words per minute and be highly skilled in organization, communication (professional grammar, spelling, and punctuation), and decision-making.

Physical Requirements:   Must be physically able to operate a variety of automated machines including telephone, computer, copier, calculator, etc.  Must be physically able to exert up to ten pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.  Position involves mostly sedentary work, but may require walking or standing for brief periods of time. 
Data Conception:   Requires the ability to compare and/or judge the readily observable functional, structural, or compositional characteristics (whether similar to or divergent from obvious standards) of data, people, or things.
Interpersonal Communication:   Requires the ability of speaking and/or signaling people to convey or exchange information. Includes the giving of assignments and instructions to assistants. Includes the receiving of information and instructions from the Assistant Vice President for Academic Affairs.
Language Ability:   Requires the ability to read a variety of documents, reports, and books such as codes, various manuals, etc. Requires the ability to prepare documents and reports with the proper format, punctuation, spelling and grammar, etc.  Has the ability to speak with poise, voice control and confidence.
Intelligence:   Has the ability to apply principles of logical or scientific thinking to define problems, collect data, establish facts, and draw valid conclusions; to interpret an extensive variety of technical instructions in mathematical or diagrammatic form. Is able to deal with several abstract and concrete variables. Has the ability to apply principles of rational systems such as administrative office technology, secretarial science, and human relations, etc., in order to solve practical problems and deal with a variety of concrete variables.
Verbal Aptitude:   Requires the ability to record and deliver information and to follow verbal and written instructions.
Numerical Aptitude:   Requires the ability to utilize mathematical formulas; add, subtract, multiply, and divide numbers; utilize decimals; figure percentages; apply algebraic principles; and apply descriptive statistics.
Form/Spatial Aptitude:  Requires the ability to inspect items for proper length, width and shape.
Motor Coordination:   Requires the ability to coordinate hands and eyes in using automated equipment.
Manual Dexterity:   Requires the ability to handle a variety of items, office equipment, computer, calculator, control knobs, switches, etc. Must have moderate levels of eye/hand/foot coordination.
Color Discrimination:   Requires the ability to differentiate colors and shades of color.
Interpersonal Temperament:   Has the ability to deal with people beyond receiving instructions.  The worker needs to relate to people in situations involving more than receiving instructions. Must be adaptable to performing under minimum stress when confronted with an emergency.
Physical Communication:  Requires the ability to talk and/or hear (talking - expressing or exchanging ideas by means of spoken words; hearing - perceiving nature of sounds by ear.)

Position Description

Under limited supervision, provides highly responsible and responsive administrative assistance and secretarial support to the Assistant Vice President for Academic Affairs-Curriculum Instruction for the College.  Manages and coordinates all office communications and performs other administrative and secretarial duties in support of the office. Reports to the Assistant Vice President for Academic Affairs-Curriculum Instruction.

Performs administrative, secretarial, and clerical duties in support of the Assistant Vice President for Academic Affairs-Curriculum Instruction (AVPAA-CI) which includes but is not limited to managing the office and project calendars; scheduling meetings; making travel arrangements; maintaining the travel log; managing P-Card transactions in the Works system; purchasing for the Program of Study (POS) Coordinator, the ECHS Liaison, Facilities Scheduling and the AVPAA-CI through E-Procurement; creating meeting agendas; taking and transcribing minutes; compiling and composing correspondence, typing all confidential documents; creating and maintaining a paperless filing system; maintains office and department budget; and managing State Authorization for the College.
Collects and maintains PCC Adjunct Faculty Spreadsheets each semester.
Collects and maintains electronic files of PCC Faculty Teaching Schedules (Door Schedules) and Syllabi each semester.
Collects and maintains Advisory Board Committee Minutes annually.
Maintains electronic notebooks for all direct reports to the AVPAA-CI.
 Advises, communicates with, and registers students for accelerated, 5-week courses.
Assists annually with the collection and preparation of information for the front half of the Pitt Community College General Catalog up to but not including Curriculum Programs. Includes but is not limited to: Table of Contents; Academic Calendar; Special Events; President's Message; Organization; PCC Faculty and Staff; Admissions; Tuition, Fees, and Other Expenses; Academic Regulations; PCC Policies; etc.  
Assigns proper budget codes; runs monthly budget reports for all direct reports; shares reports with the AVPAA-CI; completes budget transfers as necessary.
Prepares staff requests for direct report meetings and evaluations.
Keeps administrative code book up-to-date.
Oversees membership, reporting, and compliance with relation to State Authorization which requires the ability to read and interpret statutes regarding operation and licensure in states other than North Carolina. Prepares and maintains compliance documents related to State Authorization and is responsible for distribution of changes to those compliance documents. Communicates any necessary information with internal PCC stakeholders and external state entities.
Operates and utilizes office equipment and supplies including scanner, computer, copier, calculator, and general office supplies.
Provides direction/assistance for students and others.
Cross-trains with the Program of Study Coordinator and Facilities Scheduling Office staff.
Performs other related duties as necessary.
