Position Description

Statement of Primary Purpose

To provide administrative and clerical support to the Dean and Macon Campus



Office Support, Full-time, Non-exempt, Staff


Essential Functions and Responsibilities

  • Provide administrative and clerical support to the Dean and Macon Campus faculty and staff.
  • Maintain Macon Campus semester class schedule by entering classes and updating in college computer system. Network with college personnel.
  • Schedule room assignments for Workforce Continuing Education, Career and College Readiness, MEC, community meetings, etc. at the Macon Campus.
  • Assist with student registration (credit and continuing education). Provide and process employee documentation for Human Resources (including I-9 verification).
  • Maintain room schedule, course syllabi, instructor schedules, and adequate office supplies. 
  • Collect and process leave requests, travel authorizations and reimbursements, field trip forms and instructional time make-up forms.
  • Purchase equipment and supplies by working in the E-Procurement system, following NC State Division of Purchase and Contract guidelines, and assisting with acquiring quotes and bids.
  • Calculate pay for part-time instructors, create contracts, submit to business office, and provide monthly report for payroll.
  • Maintain computer filing system and keep accurate records.
  • Provide LAC information to HR. Maintain time sheets, contracts, schedules, and employment memos.
  • Create memos, letters and documents to assist with division correspondence.
  • Provide friendly and helpful, accurate information to students, faculty, staff, and visitors to the Macon Campus.
  • Create and maintain spreadsheets for organizational and reporting purposes to include budget tracking.
  • Maintain a cordial, helpful front desk environment for the Macon Campus; answer phone, respond to routine requests, and route messages appropriately.
  • Train staff that may substitute during an absence.
  • Assist with planning and implementation of special events and meetings.
  • Adhere to college due dates, policies and procedures.
  • Complete high-quality work with integrity and confidentiality.
  • Submit all work orders.

Minimum Qualifications


Required: High School or equivalent with 5 years Office Admin experience

Preferred:  Associates Degree with a minimum of 2 years Office Admin


Knowledge and Skills    

Excellent computer software application skills and communication skills.  Excellent follow through, attention to detail, and ability to maintain confidentiality.  Ability to establish and maintain effective working relationships with students, faculty, staff, and visitors.  Specific software applications currently used include:  Word, Excel, PowerPoint and Google Suite.  Prefer experience with Datatel/Colleague.   Proficiency in using common office equipment including photocopiers, fax machine, and classroom instructional equipment.


Physical Demands           

Light lifting of office supplies.  Bending, stretching, and walking for filling and special events.

Typical campus office environment.

Over-time when needed.
