Associate Degree or a combination of experience and education sufficient to perform the job duties.  The candidate must demonstrate the following abilities: effectively communicate both orally and in writing; be capable of prioritizing in order to complete work in a timely manner; work without direct supervision; successfully use computer software skills and Internet research abilities; strong customer service skills and telephone skills are required; type a minimum of 50 words per minute.

Position Description

Performs administrative and office support activities with minimum supervision.  Is responsible for the daily operation of a professional office.  Extensive computer and software skills are required, as well as research abilities.  Requires strong written and oral communication skills. Establishes and maintains effective working relationships with faculty, staff, students, and the community.

  Essential duties and responsibilities:
1.

  1. Customer service in all manners (person, phone, and computer)
  2. Assist with creating Faculty Credential forms
  3. Assist with creating appointments and meeting schedules
  4. Compose and edit documents
  5. Serve as key operator for copiers
  6. Manage equipment and supplies
  7. Record, and disseminate meeting minutes
  8. Assist with changes in classroom assignments
  9. Maintain accurate division and employee records
  10. Maintain office equipment
  11. Maintain and order instructional and office supplies and materials
  12. Provide adjunct instructors with campus updates and new
  13. Create and disseminate comprehensive adjunct instructor schedule and contact information for various campuses, offices, program coordinators, and the Executive Director
  14. Distribute mail
  15. Proctor Exams
  16. Support all Executive Director, Academic Deans, and Directors
  17. Support Library and MIND Center staff
  18. Update software and computers as needed
  19. Assist with College events
  20. Other duties as assigned

2.         Administer budget and financial procedures

  1. Manage various aspects of the budget
  2. Train faculty regarding state budget procedures
  3. Complete supply and equipment orders
  4. Maintain supply inventory
  5. Assist faculty with travel procedures/paperwork and submit in a timely manner

3.         Provide administrative and clerical support for full-time faculty

  1. Order supplies, furniture, and equipment
  2. Train faculty on copier and other office equipment
  3. Assist in training faculty on the use of software applications
  4. Create faculty mailboxes
  5. Ensure proper documentation is received by HR in a timely manner for new hires (Full Time and Adjunct)
  6. Assist with evaluations of students, faculty, courses, etc.

4.         Provide administrative and clerical support for adjunct faculty

  1. Complete new hire forms in a timely manner
  2. Assist Coordinators with completing check out paperwork for non-returning instructors in a timely manner
  3. Assist with orientation
  4. Complete contracts (faculty, or facility)
  5. Assist with onboarding faculty in a timely manner

5.         Maintain academic records

  1. Archive course syllabi

6.         Other duties

  1. Participate in professional development
