OCCUPATIONAL SUMMARY:
The Administrative Assistant – Technology Services performs a range of administrative, clerical, and project support duties in support of the Technology Services Department. This position maintains current knowledge of appropriate college and departmental policies, processes and procedures in an effort to ensure efficiency and integrity of the department. This position actively participates in the planning and coordination of projects, activities and initiatives undertaken by the department.
ESSENTIAL DUTIES & RESPONSIBILITIES:
- Provides excellent customer service and assistance to internal and external customers through walk-in, telephone and email
- Responsible for planning, organizing, coordinating and executing the administrative functions for Technology Services
- Provides general administrative support to Technology Services staff including preparation of memorandums, correspondence, minutes, and reports
- Assists in maintaining and monitoring budgets and monitors and conducts inventories pertaining to equipment and supplies
- Performs requisition requests to order supplies and/or services or input vendors
- Maintains accurate records and well organized files to comply with Technology Services needs
- Provides basic first tier IT Helpdesk support through telephone or email
- Analyzes HelpDesk tickets and distributes to appropriate IT staff for service
- Stays current on technology and best practices related to areas of responsibility
- Participates in appropriate committees and task forces as assigned
- Performs other job-related tasks and projects as assigned in support of the College’s mission, core values and goals
MINIMUM QUALIFICATIONS:
High school diploma or equivalent.
Two (2) years’ experience in an office environment performing administrative tasks.
Preferred:
Experience with Colleague.
Experience with the NC State E-Procurement System
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge
- Working knowledge of current technology best practices; general office maintenance and practices; filing systems, word processing, database, presentation, and spreadsheet applications; and College information systems
- Working knowledge of College and departmental operational practices, policies and procedures, and the ability to assist employees and students in understanding them
- Working knowledge of basic project management practices and protocols
Skills
- Interpersonal communication and cooperative problem solving and the ability to exhibit effective telephone etiquette and basic public relations skills
- Create correspondence using proper letter composition, grammar, spelling and punctuation standards
- Comply with budget development practices and processes
- General proper operation of and the ability to use personal computers, standard office equipment; basic mathematics, and basic bookkeeping

- Communicate effectively, verbally and in writing; relate in a professional, helpful manner in person and over the phone
- Multi-task and organize, prioritize, and follow multiple projects and tasks through to completion with an attention to detail

- Perform basic mathematical calculations; produce or compose formal documents, reports and records; operate standard office equipment
