Minimum Qualifications

High school diploma and one to two years of secretarial experience; or any equivalent combination of education and experience which provides the required skills, knowledge, and abilities.

Has comprehensive knowledge of the practices, procedures, and purpose of the Division.  Has good working knowledge of clerical and secretarial practices and procedures as they apply to the functions of the Division.  Has thorough knowledge of office practices and procedures and the care and use of a variety of office machines and equipment used in recordkeeping, accounting and report preparation.  Has the ability to type at the required corrected rate.  Is familiar with the terminology used within the Division.  Is able to understand and apply established rules, procedures and instructions to the maintenance and preparation of financial records.  Has working knowledge of laws, rules, policies and regulations that apply to the functions of the Division.  Is able to collect, compile, and assemble information clearly and concisely.  Has the ability to apply commonsense understanding to perform repetitive tasks, and is able to use independent judgment in routine as well as occasional non-routine situations.  Is able to perform required mathematical calculations quickly and accurately.  Is able to maintain standards of accuracy in all reports and accounts.  Has the ability to perform duties without the need for close supervision.  Has the ability to perform duties under stress related to meeting deadlines, working closely with executive personnel, etc.  Is able to communicate effectively with various individuals and groups including instructors, students, Division Directors, other PCC staff, etc.  Has the ability to supervise the activities of others in an effective manner.

Position Description

Under general supervision, is responsible for providing administrative, secretarial, and clerical support to the Marketing and Public Relations Division of Pitt Community College.  Reports to the Director of Marketing and Public Relations.

Receives visitors in the office and answers the telephone; handles calls, takes messages, or directs calls as appropriate.  Picks up, sorts, and distributes mail.
 
Assists with advertisements and newsletter articles.  Types and disseminates news releases.  Prepares weekly News Bulletin.  Assists Director of Marketing/Public Relations with media.
 
Maintains a variety of records and files.
 
Is responsible for maintaining inventory of supplies and brochures for the Division.  Stocks recruitment buckets with brochures give-aways as needed.
 
Assists with organizing meetings; performs such duties as preparing information packages, preparing give-away packages, making reservations, coordinating food/refreshments, etc.  Takes minutes of meetings as required.
 
Assists in preparing Exhibit Boards.
 
Assists the Accounting Office with a variety of duties to facilitate the processing of accounts payables.
 
Disseminates Deans List, Honor Roll List, and Graduates List to newspapers as appropriate.
 
Directs and oversees the work of work study students.  Performs such supervisory duties as assigning and reviewing work of others; maintaining standards; and coordinating activities.
 
Coordinates homecoming activities.  Performs such duties as selecting homecoming committee, planning and coordinating activities, coordinating Homecoming Queen events, etc.
 
Provides assistance to the foundation and assists with the Golf Tournament by registering golfers, developing print materials, assisting with recruiting golfers, and assisting with collecting prizes.
 
Prepares Pitt Community College telephone listing for telephone books.
 
Is responsible for storing and distributing coupon books for students.
 
Receives, reviews, processes, submits and/or files a variety of documents and reports including requisitions, purchase orders, newspaper copy, ad copy, Honor Roll/Graduates/Deans List, minutes of meetings, letters, etc. 
 
Operates and maintains a variety of standard office machines and equipment including computer, typewriter, copier, calculator, fax machine, etc.
 
Prepares birthday cards for staff and faculty from President.
 
Assists with registration as needed.
 
Relieves switchboard operator on a rotating basis.
 
Performs other duties as required.
