Position Qualifications:

Knowledge, Skills and Abilities:  Positive attitude, flexibility, and ability to adapt to changing needs and priorities on a daily basis are critical. Must possess above average skills including typing/keyboarding, filing, and computer operation. Demonstrated keyboarding skills consisting of a minimum of 45 words per minute after error adjustment as well as knowledge of filing rules. Computer experience to include Windows and Microsoft Office Suite. Experience with Student Information Systems (e.g., Colleague, Banner, PeopleSoft) and Customer Relationship Management (CRM) systems also desired. Ability to effectively prioritize various tasks and assignments. Must demonstrate good verbal and written communication skills, attention to detail, and ability to maintain confidentiality. Ability to be an effective team player and deal effectively with RCC employees, students, and the public.

Minimum Education and Experience:  Associate degree in Office Administration or a related field. Two years of customer service and computer experience required, preferably in a higher education setting.

Position Description

General Description: The Administrative Assistant, under the direction of the VP for Student Services, is responsible for such duties as word processing, filing, and report preparation for the VP. Responsible for providing support to other departments within the Student Services division. The Administrative Assistant works with minimal supervision and handles routine matters independently.

EXAMPLES OF ESSENTIAL DUTIES:

Duties and Responsibilities of the Position:

  1. Provide administrative support to the Vice President for Student Services, serving as the primary contact for this area.
  2. Provide backup support to the Lee Building Reception Desk, as needed. This may include greeting visitors as they enter, answering the main campus line, issuing IDs and parking passes, and responding to inquiries about the college.
  3. Prepare letters, documents, reports, and spreadsheets, as needed by the Vice President for Student Services.
  4. Schedule meetings, set up appointments and maintain a limited calendar for the Vice President for Student Services’ daily activities.
  5. Assist prospective and current students with completing necessary applications (e.g., admissions application, RDS residency application, FAFSA) when visiting main campus.
  6. Serve as backup to the Student Testing Coordinator, administering tests and entering test score and transcript data, as needed. 
  7. Assist with the monitoring of Signal Vine and meeting students’ needs (e.g., checking application/enrollment status, registration, scheduling testing) as communicated via text.  
  8. Assist students with resolving issues that may require communication with multiple offices within the Student Services division. 
  9. Assist with contacting students who are absent from class, as needed in support of the Career and Transfer Advising Team. 
  10. Create, edit, and/or update printed materials for the area, as needed.
  11. Maintain an adequate filing system for all files maintained by the VP. Assist in the retrieval of information contained in those files and other data sources in the compilation of information as required for various reports.
  12. Serve as Recorder for Discipline Committee hearings.
  13. Coordinate and provide clerical services for Student Services division.
  14. Other duties as assigned.
