Position Description

The Administrative Assistant reports to the Vice President of Workforce Development & Community Education (WDCE) and fulfills a primary role of administrative support for a wide range of programs offered within WDCE. He/she will serve as the administrative support for assigned programs and directors, including the processing of appropriate paperwork (e.g., contracts, worksheets, and rosters), assisting faculty as needed, and purchasing of supplies and materials. He/she will be customer-focused and will work across the division to ensure efficient, superlative support is provided to students, staff, and faculty. This is a multi-faceted position, working with students, faculty, staff, and the community to meet the changing demands of the services area.

Duties include: 

  1.  Provide general office support for the department chair, program directors, and faculty within the assigned areas
  2. Process course documentation and rosters and compile course packets to ensure the smooth operation of the assigned instructional programs.
  3. Provide routine administrative support to the department chair of WD&CE, program directors, and faculty, as assigned, including the processing of travel requests and reimbursement forms.
  4. Support students and prospective students within the division in the enrollment process and providing a customer-focused approach to problem-solving.
  5. Perform a variety of business office functions, including the receipting of tuition for WD&CE courses, distribution of parking permits, as assigned.
  6. Manage the testing process and administering tests in the WD&CE testing center. 
  7. Assist with the development of WD&CE contracts, work-study contracts, collect rosters and grade reports, and other administrative functions associated with classroom instruction.
  8. Support special events hosted by the division.
  9. Cross-train with other administrative assistants in the division to ensure the continuity of services and courses.
  10. Process purchase orders and requisitions for program directors and the vice president of WD&CE.
  11. Committed to the college’s mission, vision, and core values.
  12. Participate in professional development opportunities, both internally and externally.
  13. Serve on college committees and task forces, as assigned.
  14. Understand the mission of the NC Community College System.
  15. Other duties as assigned by supervisor.
