Position Description

This position manages the front desk/switchboard operation for the NC Community Colleges System Office by providing a welcoming atmosphere to callers and on-site visitors, directs callers and provides general information about the Community College System, and maintains security procedures for the System Office staff. The incumbent in this position will also provide support for the Human Resources Office with time management and organization chart updates.  Provide administrative support to the Executive Division. The incumbent will maintain the System Office on-line directories; assist with purchasing and e-procurement needs; assist with preparing various documents and reports, to include proofreading and formatting documents; arrange call-in numbers for various meetings, and other general office duties as required. The position's work hours are 8-5 Monday-Friday for front desk coverage, and not eligible for remote work.

KNOWLEDGE/SKILLS/AND ABILITIES: Work requires strong verbal and written communications skills; significant knowledge of and the ability to use correct grammar, vocabulary, spelling and office terminology to compose and/or proofread correspondence, reports, and other materials;   the ability to convey information orally and in writing to individuals or groups to ensure that they understand the message; the ability to develop and maintain strong relationships with customers by listening to the customer and understanding and responding to identified needs; the ability to establish and maintain effective working relationships in order to encourage and support communication and teamwork; the ability to use telephone system, personal computer and software, including Microsoft Office and Teams, the internet, email and calendar; and the ability to accomplish tasks and processes accurately and completely.

PREFERENCES: Management prefers prior customer service and switchboard/front desk experience, including being responsible for front-desk security procedures.  Experience maintaining internal/external websites; knowledge of and use of Microsoft Office applications and SharePoint preferred. Integrated HR-Payroll System (formerly known as BEACON).
