The Purpose  

The Administrative Assistant provides administrative support for the Transylvania County Campus of the College.

Examples of Duties

What You'll be Doing  

  • Assist the Associate Vice President (AVP) for Transylvania County Campus (TCC).
  • Prepares and maintains records, reports, and files for programs operated by the College at TCC.
  • Prepares and maintains room schedule for courses and visiting Henderson County Campus (HCC) faculty and staff.
  • Assists in organizing, starting, and maintaining classes and programs operated by the College at TCC.
  • Collects, receipts, and deposits tuition and fees for TCC.
  • Assists in preparing payroll for part-time employees and adjunct faculty 
  • Assists in preparing course schedules for TCC.
  • Provides administrative assistance to instructors and other staff members at TCC.
  • Inputs data into the Colleague computer system for programs for TCC.
  • Maintains budget projections for AVP and Faculty Chair.
  • Reviews & records staff and faculty leave.
  • Reviews and e-verify employment forms for new employees.
  • Completes Technology Service Requests for new employees.
  • Processes statistics and reports for TCC.
  • Maintains Key records and requests for TCC.
  • Communicates information/updates to staff and faculty.
  • Schedules mail courier between campuses.
  • Hires and supervises courier work-study students.
  • Coordinates with bookstore manager in scheduling TCC bookstore hours during registration.
  • Assists in the student registration process.
  • Serves as back-up receptionist as needed.
  • Represents TCC at meetings as appropriate.

Additionally  

  • Maintains technical competencies necessary to the job function.
  • Performs other duties as assigned.
  • Ensure compliance and confidentially with all policies and procedures of the College, NC Community College System, and applicable State and Federal agencies.

 

Qualifications

Education 

Must have associates degree in office systems technology or related field.

Experience 

All applicants must provide verifiable and relevant professional experience in a work-place setting or demonstrated instructional / teaching environment.

Skills and the Know-How  

The ideal person will possess strong personal and professional integrity, effective verbal and written communication skills, and a commitment to safety. Demonstrated proficiency using Microsoft Office Suite or similar products, database systems, College email and website, and other computer applications associated with the position.   

  •  Excellent math skills.
  • Detailed oriented with paperwork requirements.
  • Proven ability to work in an environment in which change is a highly valued cultural characteristic.
  • Interpersonal skills necessary to work with a diverse population of current/prospective students, co-workers, or outside agencies.
  • Unconditional positive regard for customers.

Physical Demands  

The ability to perform all duties associated with the position including, but not limited to lifting, prolonged standing, sitting, bending, stooping, and operating or performing work with associated tools and machines.
