Minimum Qualifications

  • Associate's degree required in a related field, AND
  • Minimum one year of experience in administrative support preferably in a community college setting, OR,
  • Equivalent combination of experience and education.

Preferred Qualifications

  • Bachelor's degree in related field.
  • Student engagement experience preferably in a community college setting.

    • Blackboard online learning software
    • AVISO coaching software
    • Knowledge of Pearson VUE test proctoring administration policies and procedures.

Position Description

In line with the college's strategic plan, the Administrative Specialist is a team member of the Academic Assistance Center within the Division of Student Learning. This team supports the student learning process with the primary goal of maximizing levels of college success.

The Student Learning Administrative Specialist will provide direct support to the Coordinator of Academic Assistance, Director of Secondary Partnerships, and Dean of Student Learning; manage payroll for Academic Assistance; assist students in the acquisition and reinforcement of specific skills by facilitating test proctoring, tutoring services, academic success skills and strategies, and support with instructional technology.

Essential Duties

To promote overall student success, retention, persistence, and completion efforts, this position will aid the learning support efforts for institutional stakeholders, including:

Administrative Duties

  • Provide administrative and clerical support as assigned.
  • Provide exceptional customer service while serving as point of contact for patrons utilizing AAC services.
  • Ensure accurate and timely completion of payroll.
  • Processing and organization of CCP applications.
  • Organize and edit CCP Schedule Sheets for upcoming semesters.
  • Maintain required records and documentation for various outreach initiatives.
  • Actively market and publicize AAC activities to CCCC constituents and potential patrons.
  • Secure and maintain an inventory of instructional supplies and materials.
  • Record, and distribute minutes of division meetings.
  • Prepare division correspondence.
  • Assist with annual program reviews.
  • Assist students as needed with academic and curriculum-specific questions and concerns.
  • Coordinate division activities in the absence of program dean.
  • Assist Dean of Student Learning in managing division-specific initiatives.
  • Record, and distribute minutes of division meetings.
  • Record Curriculum Committee and Student Engagement and Learning Committee Meeting.
  • Assist Staff with document preparations such as travel authorization/reimbursement, alternate instruction, check requests.

Testing Services

  • Maintain required test proctoring certifications and assist students with self-administered assessments.
  • Provide access to assistive technology in compliance with ADA regulation.

Tutoring Services

  • Manage and track tutoring appointments using institutional software.
  • Assess specific tutoring needs and place students requesting tutorial assistance.

Other Duties

  • Serve on college committees as assigned.
  • Perform other related duties as assigned.
  • Attend staff development and in-service training programs as appropriate.
