Minimum Qualifications

  • Associate Degree from a regionally accredited institution
  • Experience in customer service field
  • Experience with data entry and MS Office Suite
  • Demonstrated skill in the use of computers and commitment to using technology
  • Excellent oral and written communication skills
  • Ability to work effectively and collegially with others
  • Ability to anticipate and respond to change
  • Familiarity with and appreciation for the mission of a comprehensive community college

Position Description

The Administrative Support, Student Records staff member provides support to the Student Records Office.  This position reports to the Associate Dean, Student Records and Registrar and has the following responsibilities:

  • Responds to or appropriately distributes Student Records incoming inquiries from students, faculty, and staff in person, online, or by telephone and provides high-level, personalized customer service to students and the campus community
  •  Assists with term-end processing, reporting, and records management functions, including the management and retention of curriculum and continuing education student records
  •  Maintains and updates student records and ensures accurate data entry, filing, record retrieval, and reporting both manually and electronically   
  •  Provides clerical support to the Student Records Office
  •  Scans (electronic imaging) and indexes (electronic identification) curriculum and continuing education Student Records documents
  •  Understands laws protecting student records and maintains confidentiality of student records
  •  Works collaboratively with other staff to develop cross-training opportunities and knowledge sharing
  •  Maintains sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds
  •  Seeks opportunities to gain knowledge and implement more effective and efficient processes
  •  Participates in department and College meetings and serves on College committees as appropriate
  •  Supports the mission, vision, and values of the College
  •  Performs other duties as assigned which support the purpose and initiatives of the College
