Minimum Qualifications
Required:
Associate Degree, from an accredited institution, in office systems technology, secretarial services, business, information systems, or related field
Two years of clerical experience or equivalent training
Experience with data entry
Experience filing and maintaining office records
Experience with receiving incoming calls and scheduling appointments
Experience managing a professional office and assisting visitors
Experience with MS Office Suite
Excellent oral and written communication skills
Demonstrated ability to work effectively and collegially with others
Preferred Qualifications
Bachelor’s Degree from an accredited institution, in office systems technology, business information systems, communications or related field
Experience working in a college setting
Experience working with federal grant programs
Experience working with individuals who are low-income and/or first-generation.
Fluency in Spanish
Experience with Blumen database

WHAT YOU'LL DO ON A TYPICAL DAY:
The Administrative Support, TRIO Talent Search and Upward Bound is a full-time, grant funded position responsible for providing general office support and assistance to the TRIO Talent Search and TRIO Upward Bound programs. This jointly shared position reports to the Director, Talent Search and the Director, Upward Bound and has the following responsibilities to each program:
Performs general office duties, including answering phones, greeting visitors, scheduling appointments, preparing materials, filing, and processing incoming and outgoing correspondence.
Maintains and compiles information needed for both the programs Annual Performance Reports; assists the Directors with required grant reporting and communication with the US Department of Education.
Assists the Directors in preparing and maintaining participant files, including, but not limited to, applications, forms, eligibility documents, and academic records.
Assists with database entry and maintenance of participant services and activities.
Ensures accurate data entry, filing, record retrieval, and reporting both manually and electronically.
Assists with tracking programs and budget expenditures and reconciles college budgets statements with internal program budget spreadsheets.
Assists with programs’ communication activities (i.e., letters, newsletters, bulletins, flyers, calendars, social media etc.).
Assists in organizing in-person and virtual activities, meetings, and workshops for both programs and participates in TRIO events, as appropriate.
Provides staff support during each program’s meetings by scheduling, taking minutes, and preparing meeting minutes, in person and virtually.
Provides administrative support in person and virtually to Student Success Advisors, as needed.
Maintains office supplies, coordinates travel and completes purchase order requests and other purchasing processes.
Maintains sensitivity, understanding, and respect for a diverse academic environment, inclusive of students, faculty, and staff of varying social, economic, cultural, ideological, and ethnic backgrounds.
Seeks opportunities to gain knowledge and implement more effective and efficient processes.
Maintains and records accurate time and effort for each program; providing equal level of service for TRIO Talent Search and Upward Bound programs.
Supports the mission, vision, and values of the College.
Performs other duties as assigned which support the purpose and initiatives of the Talent Search and Upward Bound programs as well as the College.
