Position Description

DEFINITION:
 
This position supports the mission and goals of the Foundation by ensuring the integrity and cultivation of relationships with our donors, faculty, staff, and students. In addition, this position administers Foundation outreach, fundraising events, and alumni programs. As a member of the Foundation team, this Coordinator cultivates, solicits, and stewards financial contributions that enhance and significantly impact the students, alumni, donors, and employees at Cape Fear Community College. Work is stated in terms of objectives requiring project planning and judgement.  Assignments may be broad in nature requiring creativity and ingenuity; incumbents may have overall project responsibility and act as a technical authority on assigned projects.

SUPERVISION RECEIVED AND EXERCISED:
 

  • Receives direct supervision from the Director of Philanthropy
  • Does not exercise supervision, but may provide work direction or advice/assistance to other team members 
  • May act as a lead on some projects and guide lower level team members

 

Duties & Responsibilities (Essential Functions)

ESSENTIAL AND OTHER IMPORTANT FUNCTION STATEMENTS:
Essential and other important responsibilities and duties may include, but are not limited to, the following:
 
Essential Functions:
 
Alumni

  • Develop and build comprehensive alumni engagement strategy and program for CFCC.
  • Work closely with CFCC alumni to develop outreach opportunities that build awareness among corporations and individuals, with the goal of cultivating existing relationships and developing new relationships with local alumni and businesses.
  • Develop outreach strategy and execute annual plan for alumni outreach.
  • Work closely across college departments to build awareness of the alumni program, benefits, and opportunities.
  • Continuously seek to build new relationships with CFCC alumni, spanning the college's history.
  • Develop creative means for alumni to connect for support, mentorship, and employment opportunities, including the creation of the alumni web portal.

Events

  • Manage and coordinate cultivation and fundraising events (from small dinners to large community-wide festivals).
  • Solicit sponsorships and in-kind donations for all fundraising events.
  • Creatively cultivate prospects through a variety of interactions and personal visits.
  • Provide administrative support for all event-based fundraising activities, including but not limited to: collaborating with the Community Relations department to create rsvp, solicitation, and invitation materials; tracking donations and registrations, event expenses, sponsorship benefits and pledges; and providing post-event analyses.
  • Identify emerging businesses and individual prospects, and design events to cultivate, solicit, and maintain their financial support through exceptional stewardship.
  • Develop and implement a strategy for the cultivation, solicitation, and stewardship of event attendees.

Outreach

  • Oversee and develop community awareness campaigns of Foundation activities and opportunities, through various channels such as social media, email newsletters, print publications, videos, speaking points, and the Foundation website.
  • Develop annual communications calendar and strategy (mailed and electronic) for targeted donor groups, to include stewardship, information-sharing, and appeals.
  • Modify, update, and manage donor acknowledgement letters on a bi-annual basis, including post-event follow up and thank you letters as needed. Oversee donor acknowledgement mailings. 
  • Provide copywriting support for a variety of Foundation-related communications to the community and our donor network.
  • Seek out community events and networking opportunities, and establish a Foundation presence.

General Expectations

  • Manage and meet event, marketing, and alumni program budgets and maintain responsibility for assigned event fundraising goals.
  • Due to the variety of tasks involved in this position, it is critical that this position works with a great deal of independence with sound judgment.
  • Strong attention to detail and the ability to manage multiple projects in a fast-paced yet lighthearted working environment is a necessity.??
  • Perform support work as assigned including special projects, special reports, responses to inquiries, etc.
  • Participate in Foundation and Wilson Center sponsored activities/events which may require occasional weekend/evening hours.
  • Serve on committees and provide administrative support when necessary.
  • Provide assistance to students.
  • Assist other staff and faculty.
  • Engage in professional development.
  • Assume other administrative duties as assigned.

 
Other Important Functions:
 

  • Availability to work evenings and weekends to support events as needed. 
  • Serve on search committees and train new employees.
  • Adhere to legal requirements and regulations maintaining confidentiality and utilizing discretion
  • Assist with divisional travel approvals, arrangements, and reimbursement processes. 
  • Assist with student registration processes as necessary.
  • Support divisional committees as assigned including organizing, recording, distributing minutes and disseminating evaluations as necessary.
  • Support divisional budgeting and planning processes; compile information and data; prepare requisitions; coordinate purchasing activities as assigned.
  • Perform related duties and responsibilities as required.
  • May provide assistance to the President’s Office as requested.

 
QUALIFICATIONS:
 
Knowledge of:
 

  • Skills in the use of database management, word processing, spreadsheet and presentation software
  • Mastery of Microsoft Office Suite software (Word, Excel, PowerPoint, and Access)
  • Principles and procedures of record keeping and reporting
  • Advanced principles of business letter writing and report preparation
  • English usage, spelling, grammar and punctuation
  • Basic mathematical principles
  • Principals and techniques used in public relations
  • Protocol and etiquette
