Minimum Qualifications

Minimum Requirements:  

Bachelor’s degree  

Two years of related experience in apprenticeship programs, workforce development, learning and development, or skills training, or an equivalent combination of education and experience  

Valid driver’s license with approval required by the College’s Liability Insurance Carrier 

Preferred Qualifications

Preferences  

A working knowledge of NCCCS processes and procedures 

Advanced knowledge of the apprenticeship model of training, legislation, and regulations regarding apprenticeship programs  

Customer service experience, with emphasis on client relations  

Previous supervisory experience  

Position Description

The Apprenticeship Operations Coordinator manages operational, technical, and process execution and maintenance for WakeWorks Apprenticeships, promoting future program growth. This position is a liaison between industry partners, Wake Tech Community College (WTCC) and various local and state organizations in accordance with legislation.  

Responsibilities and Duties (*Essential Functions)

*Oversee and streamline the operational process of multi-campus Workforce Continuing Education Apprenticeships. 

*Assess apprenticeship operations to establish effective processes, provide guidance in promoting workflow efficiencies and continuous improvement, and enforce compliance with College policies and procedures and state office of apprenticeship regulations  

*Manage Customer Resource Management (CRM) records internally, following participant advancement and attrition through stages of completion across multiple trades and programs; verify accuracy and completeness of all resource feeds and create trend analysis reports based upon collected data  

*Create Access Database(s) to centralize all participant data and provide various reports and queries to meet day to day activities as well as periodic information reporting. 

*Create Audit ready Access Database for NCCCS audit and review.

*Report participant agreements, changes, and completions to the State Office of Apprenticeship, corresponding with career coaches and students as needed to evaluate performance and coordinate documentation for state audit and submission via NCCCS verification platforms  

*Act as liaison between collaborating areas of the college, local industry partners, and System Office officials to map and expand new programs, communicate updates and report apprenticeship program data in compliance with the DOL

*Lead SOP development and delivery of internal training  

Provide updates to Director to ensure progress and deadlines are met

Implement collaborative tools for tracking applicant progress with Career Pathways, Career Services, Apprenticeship staff and other areas  

Promote and represent WTCC at advisory board meetings, conferences, and other functions in relation to Apprenticeship  

Coordinate and proctor NCCER Challenge Testing scheduling, reporting scores and training prescriptions to apprentices and employers

Assist with special projects and events for WakeWorks  

Complete an annual benchmark project on an individual or group basis

Qualifications

Knowledge, Skills, and Abilities: 

Proficient in Colleague (or comparable ERP)  

Proficiency with CRM Software (preferably Salesforce & Docusign) 

Excellent written, oral, and listening skills  Ability to complete self-directed work and organize team objectives 

Demonstrated analytical, organizational, and problem-solving skills 

Demonstrated ability to multi-task and set priorities around deadlines  Proficiency with Microsoft Office
