Minimum Qualifications

Associate Degree, intermediate Microsoft Office skills to include word processing, spreadsheets, databases and graphics and two years of work experience in a library or archive setting.

Preferred Qualifications

• Bachelor’s Degree in Library Science, History or related field
• Experience working in an academic library setting
• Experience working with archival or special collections

Position Description

General Function:
The Archivist Assistant position will assist archives staff with basic archival functions such as processing,
preservation, reference, outreach, advocacy, scanning, typing, filing, etc. The objective is to assist in
increasing availability of research material through preservation, outreach, and instruction.

Characteristic Duties and Responsibilities:
1. Responsible for assisting in the preservation of an access to the College’s historical records.
2. Processes physical and digital archival collections under general direction of the College Archivist.
3. Creates and updates finding aids and reference guides; maintains computerized databases such as ArchivesSpace and LibGuides.
4. Performs cataloging of collections per archival standards using tools such as Google Drive, ArchivesSpace and ContentDM.
5. Migrate photographs, audio/visual and other documents into digital formats.
6. Responds to inquiries and requests via phone and e-mail; serves as informational resource to employees, students, and the public.
7. Assists in activities related to marketing and promoting the college archives.
8. Assists in instructional research classes for patrons.
9. Monitors inventory of supplies and other materials needed to operate.
10. Performs other duties as assigned.

Knowledge, Skills, Abilities and Worker Characteristics:
• Skills in operating personal computers and software, especially MS Word, MS Excel, MS Access and Adobe Photoshop
• Knowledge of web applications and the ability to use the Internet tools, such as Google Drive (Docs, Sheets and Slides)
• Demonstrates competencies in using library and archives related software, such as LibGuides, ArchivesSpace and ContentDM
• Proficiency with web design, web authoring tools and markup languages, especially HTML/XHTML and XML
• Knowledge of curating historical displays for educational opportunities
• Excellent interpersonal skills
• Attention to detail
• Team-player with a positive outlook

Working Conditions:
Indoor environment conditions; infrequently lifting and carrying objects up to 50 lbs.; infrequently pushing loaded book truck weighing up to 300 lbs.; infrequently pulling, pushing, reaching overhead, kneeling, stooping, bending at the waist, and climbing several steps; sitting or standing at a service counter or sitting at a desk or workstation using a computer display, keyboard, and mouse with repetitive motions; using the telephone; infrequently traveling to other buildings on campus or to other campuses; exposure to elevated levels of dust or mold from books and other printed materials.
