Position Description
This position supports the office of the Provost/Chief Campus Officer—Career Programs, providing assistance with administrative tasks and representing the Provost/CCO when appropriate.
Responsibilities and Duties (*Essential Functions)

*Provides administrative and technical assistance to the Provost/CCO
*Provides administrative and technical assistance to the division Dean of Biotechnologies and all assigned faculty and staff.
*Plans, coordinates, and ensures the Provost's and Dean’s schedule is followed and respected
*Prepares, processes, and verifies assigned paperwork, such as reports, travel, memos, etc. from the Office of the Provost/CCO, and routes it to its intended recipient in a timely manner
*Maintains the budget for the service area and tracks budget expenses throughout the year including compiling budget information for travel, technology, supplies, and equipment
*Prepares, processes, and verifies assigned paperwork, such as reports, memos, etc. from the Offices of the Provost / CCO or Division Dean and routes it to its intended recipient in a timely manner
*Prioritizes conflicting needs: handles matters expeditiously, proactively, and follows through on projects to successful completion, often with deadline pressures
*Provides final verification and reports of faculty workload calculations, part-time contracts and monthly payroll reports; roll / attendance reports and grade lists each semester
Maintains confidential employee information and filing as needed
Prepares correspondence, reports, and information of a routine nature
Verifies all documents requiring Provost / CCO, Deans signatures for accuracy and completeness
Communicates with the client, the general public, contractors, vendors, supervises, peers or subordinates providing appropriate information in writing, verbally or in person, respectively
Schedules meetings, training, workshops, retreats, special events, etc. as directed by the Provost/CCO or Division Dean and other college service areas, assists with the preparation of information and provides oversight of all arrangements
Performs special projects and assignments as directed
Assists in the preparation, organization, and delivery of mail, material for meetings and events. Maintains an effective document management system (electronic and paper)
Maintain accuracy and currency of division catalog entries
Assist with administrative Continuing Education needs of the Provost / CCO and Dean
Completes annual applied benchmark project on an individual or group basis

Ability to maintain strict confidentiality at all times
Excellent organizational skills
Ability to work with a high degree of accuracy in a fast-paced office environment
Strong time management skills with demonstrated ability to multi-task and prioritize tasks accordingly
Must be able to perform all responsibilities in a timely manner
Must have excellent communication skills: listening, speaking, and writing
Must display professional interpersonal etiquette in person and on the telephone
Must be someone who honors commitments, is reliable, and punctual
Must gave ability to work harmoniously with supervisors, staff, faculty, students and the general public to accomplish the goals and objectives of the College
Will work in an office setting, but may also be required to travel across the campuses
Must provide quality customer service by creating a welcoming and supportive environment
Intermediate skills with MS Office products, particularly with spreadsheets, word processing and presentation software
