Minimum Qualifications

Associate’s degree in Business Administration, Accounting, or a related business field is required. 

Must have strong communication skills, be able to manage time effectively, and meet deadlines. Work requires the person to coordinate numerous tasks simultaneously, and provide support necessary for the continuity of the operation of the Continuing Education Department. Attention to detail, follow-up, and strong organizational skills are critical to this position. Strong technology skills are required for data entry, report generation, and accounting practices with little supervision.

Preferred Qualifications

Two years of experience in an educational setting or business field related to educational offerings is preferred.

Position Description:

The Assistant Registrar manages the data records for all program areas within the Continuing Education Department adhering to all regulatory compliance including but not limited to FERPA, State Board of Community College Code, and NC General Statues. The position schedules classes; registers students; records student attendance, grades, and course evaluations, issues course certificates upon request, and performs other database maintenance utilizing the College’s software. This position works closely with all Continuing Education program directors, the College , the Dean of Continuing Education and the Business Office in the life cycle of student course data management. This position must work well independently without close supervision, and adhere to established program guidelines and procedures.

 

Essential Job Duties: 

  • Enter and verify class registrations, class schedules, attendance sheets, student rosters, grades, and certificates.
  • Maintain changes to student personal information such as address, and name changes as required.
  • Create class packets for instructors including attendance sheets, course evaluations, and registration forms.
  • Compile and submit semester-end class visitation report.
  • Coordinate the process of student scholarships for Continuing Education students by working with the Scholarship providers as well as the Accounts Receivable   Specialist to ensure student accounts are properly credited.
  • Generate Instructor contracts, obtain signatures and approvals, and submit to payroll monthly.
  • Provide information to the public about upcoming activities including, but not limited to class schedules, and registration requirements.
  • Ensure the department meets the Records and Retention policies as set by the NC Community College System.
  • Generate and review reports including but not limited to the Registration Report, the Underage Students Report, the Curriculum & Continuing Education Student Overlap Report, and the Continuing Education & Occupational Extension Duplicate Class Report in preparation for the Institutional Class Report (ICR), at the end of each semester.
  • Assist the College Registrar with requests for FERPA, processing transcripts, and enrollment verifications.
  • Test and implement new technology, workflows, and communication plans.
  • Assist and participate in all aspects of the graduation process. 
  • Serve on College committees as assigned.
  • Perform other job-related duties and projects as assigned in support of the College's mission, core values, and goals.
