Minimum Qualifications
Bachelor’s Degree from an accredited college in business administration, records management, or a closely related field; or equivalent.
Must possess both written and oral communication skills.
Must have expert efficiency in Microsoft Office and operational functions of a personal computer.
Preferred Qualifications
Experience working with Ellucian Colleague; Computer Programming skills a plus
Master’s Degree preferred.
Position Description
Exercise technical and functional supervision over clerical staff
Maintain strict confidentiality of student records and other materials or information of a confidential or sensitive nature as it relates to FERPA (Family Education Rights and Privacy Act).
Lead and participate in the registration of students for Corporate and Continuing Education courses and in the maintenance of student records.
Coordinate and supervise the registration process including monitoring the registration of students, publication of class schedules, and information dissemination and verification.
May lead and participate in the maintenance of an automated registration and student records system (Destiny One); establish procedures that support the system, advise staff in appropriate systems administration and maintenance procedures. Assist in the coordination and implementation of new software platforms designated for upgrades campus wide.
Assist in the coordination and supervision of the registration staff and processes including monitoring the registration of students, publication of class schedules, and information dissemination and verification.
Monitor operations and activities of records and registration function; recommend improvements and modifications; prepare various reports on operations and activities.
Assist in the implementation of goals and objectives; establish schedules and methods for providing efficient and effective registration and student records services; implement policies and procedures.
Maintain an automated registration and student records system; establish procedures; train staff in appropriate systems administration and maintenance procedures.
Interpret, apply, and ensure staff compliance with College policies and procedures, and federal and state laws and regulations pertaining to disclosure of student information.
Maintain documentation covering registration and records policy and office procedures; compile and maintain a variety of statistical records and reports.
Prepare Institutional Class Report, Data Cards Report, and other reports for the state.
Participate in the coordination of assigned registration activities with those of faculty, administrative staff, and other College divisions and departments.
Confer with and provide staff assistance and advice to higher level College staff as assigned; develop, prepare, and present recommendations and reports as requested.
Perform and review the more complex registration issues including determining State resident status of enrolling students, counseling students regarding system requirements and procedures, and auditing of final class registration listings.
Establish ongoing training and staff development to include creating manuals of all new training modules for all state supported software platforms utilized by the Registration and Records Department.
Assist the Senior Registrar with implementation of policies and procedures within the Registrar’s office and participate in annual goals and objectives.
Assist Senior Registrar in monitoring changes that are needed to the college catalog and the website.
Actively participate on departmental and college committees as assigned.
Represent the College and Registrar’s Office in a positive and professional manner and collaborate with other college areas and offices to contribute to the retention of students.
Answer questions and provide information to students and the public; investigate complaints and recommend corrective action as necessary to resolve complaints.
Participate in the selection of staff; provide or participate in staff training; work with employees to correct deficiencies.
Serve as Acting Registrar in the absence of the Senior Registrar.
Schedule the production and distribution of the computer output for the registration and records unit.
Perform related duties as assigned.
