Minimum Qualifications

Education 

  • Six years directly related office support work experience with increasing responsibilities; or, 
  • an Associate’s degree or certification (s) in Applied Science, Business Administration, Office Systems Technology, or a related field of study plus 4 years of directly related office support work experience with increasing responsibilities; or,
  •  a Bachelor’s degree in a related field plus 2 years of directly related office support work experience with increasing responsibilities.   

Knowledge and Skills:

Community College experience preferred; Keyboard skills and computer proficiency using database/spreadsheet packages; and excellent communications skills required.

Position Description

The primary duty is the performance of administrative support duties in the Registrar’s Office within the Student Services Division. Uses knowledge and related experience to complete tasks of significant scope where analysis of situations or data is required.  Exercises judgment and makes decisions affecting tasks or procedures for which they are accountable.  

Duties include:

  • Performs data entry, processes forms, establishes, maintains and updates files, databases, records, and other documents, including scanning all incoming documents. 
  • Composes and word processes a variety of complex documents and correspondence which may be confidential in nature, using knowledge of scientific, literary or other technical terms. 
  • Resolves or refers a range of administrative problems and inquiries. 
  • Serves as a liaison with other departments and external constituencies in the resolution of matters concerning the activities and operations of the department/division. 
  • Uses various software applications, such as spreadsheets, relational databases, statistical packages, and graphics packages to assemble, manipulate and format data and reports. 
  • Researches information, compiles statistics, and gathers and computes various data. 
  • Prepares special or recurring reports, summaries, or replies to inquiries. 
  • Advises and directs other support staff in the department/division, assists in making work assignments and reviews work for accuracy and completeness. 
  • Coordinates with other departments to accomplish specialized tasks by obtaining relevant data. 
  • Arranges logistics for special projects and events such as conferences, office activities, meetings and training. 
  • Answers telephones, directs visitors, sorts, screens, and distributes incoming and outgoing mail, orders, stocks, and distributes office supplies specifically related to the department or area within the department, ensures maintenance of office equipment. 
  • Under the Registrar’s supervision: collects and processes attendance rosters, evaluates transcripts, prepares the master schedule of curriculum classes and edits the schedule as approved, enters grades, grade changes, audits, proficiencies, and drop/withdrawals, notifies students of academic honors recognition and incomplete (I) grade deadlines, and reviews each semester’s registration process/information for accuracy. 
  • Assists with FTE data compilation and calculation, graduation preparation, input and clean-up of data, and testing necessary for each billing cycle, and verifying degree completion and the production of degrees, diplomas, and certificates. 
  • Attends training involving DATATEL procedures and updates, and in turn provides training for staff and faculty.  
  • Assists unit management and staff in problem solving, project planning, and development and execution of stated goals and objectives. 
  • Assist with other departmental needs as assigned by the Dean for Student Services.
