Minimum Qualifications
Equivalent to a bachelor’s degree from an accredited college or university in Business Administration, Accounting, Finance, or a closely related field. Working knowledge of generally accepted accounting principles and procedures. Five years of progressively responsible administrative experience in a directly related field.
Highly proficient with Microsoft Office including Excel, Word, and Outlook. Strong mathematical and analytical skills, able to solve complex problems and operate independently. Analyze and interpret complex financial and accounting records. Apply federal, state, and local laws and regulations pertaining to accounting and auditing activities. Strong commitment to the mission of the community college system.
Ability to effectively communicate (oral and written) with insight and diplomacy in one-on-one or in group settings. Ability to make sound decisions, evaluate priorities/choices, and maintain confidentiality.

Successful candidate must have satisfactory criminal background and motor vehicle reporting.
Preferred Qualifications
Meet all required minimum qualifications and hold a master’s degree in Business Administration, Accounting or related field. CPA license preferred. Preference given to candidates with experience managing public or government funds. 2 years of experience as a supervisor.
Position Description

With the intention of a seamless transition, we are launching a search for an Associate Business Office Director. This person will work with the current Director, who will at the end of calendar year 2024 be stepping into a Vice President of Business Operations role. The ability to work with the current incumbent for potentially up to 6 months (depending upon when you join us!) offers a true hands-on learning experience which will set this person, and the College, up for continued success. It is rare to have this robust, in-person training experience.
The plan with this role is that it will transition to the Business Office Director position. Upon that transition occurring, this position will not be backfilled.
PRIMARY PURPOSE OF POSITION
The Associate Business Office Director is responsible for the leadership and management of the daily functions associated with the business office. Responsibilities include administration of state and local policy concerning accounting, budgeting, payroll, purchasing, and inventory control. Serve as backup for the Business Office Director.
ESSENTIAL JOB DUTIES
- Support an effective work team proud of its contributions to the success of the college. Position the team and individual members for recognition and continued professional development.
- Represent the interests of the team within the context of the college as a whole.
- Supervise departmental team members of the Business Office, providing direction, guidance, assistance, training and development, and overall leadership.
- Support the Business Office Director with overall budget control within the college, including responsibility to call attention to major departures from budget allocations and to take appropriate follow-up action.
- Assist with receipting of funds, payment of accounts payable, and other fiscal duties in absence of accounting clerk, cashier, or during college registration.
- Provide technical assistance and support to college staff in matters related to financial accounting and budget administration.
- Co-serve as internal auditor for the college to ensure financial accountability and to ensure the effectiveness of internal controls.
- Assist with maintaining all account codes and update the account coding system of all expenditures, revenues, and general ledger accounts.
- Assists with the reconciliation of all bank statements.
- Assists with the evaluation of services provided by the business office and to make recommendation for improvement.
- Serve as alternate in the preparation of monthly payroll and support of the process.
- Assists with the preparations of financial reports, budget revisions and financial records including the annual financial statements for review by the VP of Business Operations.
- Assists with maintaining the accounting records of the College’s Foundation.
- Assist in the preparation of financial reports in accordance with generally accepted accounting procedures and coordinate activities, including the annual audit, with Foundation staff.
- Participate in the monitoring and reporting of grant funds to ensure compliance with grant requirements.
- Assist the VP of Business Operations with construction records including the monitoring of project budgets and submitting reimbursements requests.
- Assists in the preparation of monthly reports submitted to the System Office and to the County. Prepare the monthly cash certification request.
- Support and work to ensure all monthly, quarterly, and/or annual reporting is timely submitted including, but not limited to quarterly Foreign National Reporting, quarterly HUB reporting, annual tuition remission reporting, etc.
- Assist with reviewing and approving various transactions, reimbursement requests, and internal and external reports. Review, adjust, reconcile, and prepare reports on general ledger accounts.
- In support of the Director, work to coordinate and oversee the accuracy of all transactions and account activities related to monthly closeout.
- Assist the VP of Business Operations for the determination of monthly cash flow needs of the various funding sources of the college.
- Work with Director to ensure the timely receipting of all college revenues and the timely payment of all vendor invoices and payroll vouchers and to ensure that expenditures are legitimate college expenditures.
- Assist with reviewing internal procedures and controls to ensure effectiveness, efficiency, and security of fiscal operations, and to ensure compliance with state, federal and local policies.
