Position Description

 

PRIMARY PURPOSE OF POSITION

The Associate Director of Campus Development shall assist the Director of Campus Development in creating an effective, efficient campus (facilities, grounds, teaching forests) that also serves as a learning laboratory for students, employees, and the general public by demonstrating sound environmental, fiscal, instructional, safety, and accessibility management practices.  The Associate Director of Campus Development will assist the Director of Campus Development in oversight and advisement of the core operations of the Facilities Maintenance and Arboretum components of the department and participate in development and implementation of Haywood Community College’s Strategic Facilities Master Plan and other design plans with regards to the department’s goals.  In addition, this individual may act as general contractor on designated minor college construction projects.

ESSENTIAL JOB DUTIES

Leadership

  • Maintain an effective work team proud of its contributions to the success of the college. Position the team and individual members for recognition and continued professional development. 
  • Represent the interests of the team within the context of the college as a whole. 
  • Supervise departmental team members, providing direction, assistance, and overall leadership.
  • Ensure that records, accountability, and performance adhere to college policies and procedures, NCCCS directives, NC State Administrative Code, and other relevant guidelines. 
  • Ensure consistent, open communication, professional ethics, planning, budgeting, and evaluation of projects and performance.

 

Associate Duties

  • Assist the Director of Campus Development in preparing and presenting Campus Development reports to various committees and groups.
  • Assist the Director of Campus Development in duties relating to the maintenance, upkeep, and expansion of college property.
  • Assist the Director of Campus Development in approvals and management of all capital projects.
  • Assist the Director of Campus Development with college events as assigned.
  • Assist in the Director of Campus Development in the development of the College’s strategic Facilities Master Plan. 
  • Assist in the Director of Campus Development in regular audits of work order completion for all services of the Campus Development Department.
  • Assist the Director of Campus Development in monitoring all associated departmental budgets.
  • Assist the Director of Campus Development in campus furniture procurement.
  • Assist the Director of Campus Development in inclement weather advising.

 

General Duties

  • Lead internal Haywood Community College small construction projects, budgeted up to $125,000.  (Aspects include: seeking subcontractor bids, permitting, reviewing and approving all invoices related to these projects, overseeing construction and closeout).
  • Coordinate, schedule, and meet specified deadlines of all assigned constructions projects.
  • Plan, organize, assign, and supervise tasks of the Campus Development Maintenance and Arboretum Supervisor.
  • Conduct monthly meetings of the Campus Development Maintenance and Arboretum Teams.
  • Order supplies and other items by use of the P Card or Purchase Order system within the HCC purchasing guidelines and within the purchasing limits as defined.
  • Verify and approve Facilities Maintenance and Arboretum staff time sheets and purchase records for accuracy.
  • Review all Maintenance and Arboretum purchase orders exceeding $1,500.00
  • Complete requisitions for purchasing and contracts related to renovations.
  • Manage bidding, award, and oversight of service contracts for the Maintenance and Arboretum Teams, including, but not limited to, Elevator Service, Generator Service, Boiler/Chiller/Cooling Tower Service, Backflow Preventer Service, Waste Removal Service, and Pest Control Service.        
  • Maintain inventory of all tools and equipment in the Maintenance and Arboretum areas.
  • Work in conjunction with the Campus Development Maintenance and Arboretum Supervisor to implement a comprehensive preventative maintenance plan and a plan for managing facility systems.
  • Manage bidding/pricing and oversight for internal small projects, including roof replacement, HVAC replacement, and facility upgrades.
  • Conduct annual Campus facility evaluations and maintain records.
  • Develop annual professional development training plans for Campus Development staff. 
  • Act as campus energy manager, which will include completing all state mandated energy reporting along with assisting in energy controls management. 
  • Identify areas for utility savings and develop long term plan for reducing utility costs.
  • Manage monthly utility invoices, including payment and tracking of utility budgets.
  • Manage annual Department of Public Instruction inspections.
  • Schedule and coordinate furniture moves and recycling of surplus items. 
  • Other duties as assigned.
